We are looking for a team player to join our friendly reception team at Martonside Medical Centre. We are based in purpose-built premises opposite James Cook University Hospital.

Main duties of the job:

  • Welcoming and receiving people with general enquiries, explaining surgery procedures, making new and follow-up appointments, dealing with requests for repeat prescriptions and recording requests for home visits.
  • Open, stamp, and distribute post received from external sources.
  • Directing patients to the appropriate doctor, nurses, midwife, and any other professionals using the practice premises.
  • Answer the telephone, make appointments for the patients to see Clinicians, and answer all non-clinical telephone queries.
  • Arrange ambulance booking at doctor and patient request.
  • Ensure all messages that are to be passed on are initiated, dated, and timed by you.
  • Forward any outstanding messages to relevant staff present.
  • Forward all relevant messages to deputising service when activating out of hours service.
  • Open the building/disarm the alarm system when entering on a morning as per rota.
  • Set the alarm system and ensure the building is secure when leaving if appropriate.
  • Enter details into Post book and ensure that post is posted promptly and safely.

About us:

The Ironopolis Medical Group was formed through the administrative merger of Martonside Medical Centre (7900 patients) and The Endeavour Practice (9300 patients) in June 2017. This position is for Martonside Medical Centre. The group has 6 GP partners and a management partner. Both sites are training practices. Our clinical system is SystmOne.

Job responsibilities:

  • Responsibility for filing and extracting records, hospital letters, and laboratory results to patients' computer records/medical records as necessary.
  • Processing new patient registration data onto computer and updating attached staff of their registration.
  • Informing Registrations department of patients who wish to be entered onto the organ donation register.
  • Recording any relevant information from new patient questionnaire onto computer.
  • Ensuring all patients aged under five who register are included in practice childhood immunisation call forward system and are registered for Child Health Surveillance.
  • Informing Patients of any repeat tests or necessary appointments as requested by the doctors.
  • Processing repeat prescriptions (as surgery protocol) and forwarding to doctors for signatures.
  • Liaison with public health laboratories, hospital, health authority, district nurses, and health visitors on behalf of the practice doctors.

General Responsibilities:

  • Comply with the terms of the contract of employment and the Values and Behaviours articulated by Ironopolis.
  • Be aware of, comply with, and keep up to date with all Policies and Procedures as outlined by Ironopolis.
  • Take responsibility for engaging in the induction process for yourself and potentially others (e.g. demonstrating elements of your role to new staff).
  • Prepare for and engage in your annual appraisal considering your own learning/development needs.
  • Maintain effective communication channels with your immediate colleagues within Ironopolis; escalating issues as soon as they are practicably known.
  • To report any Health & Safety issues within the workplace which may affect either you, your work colleagues, or the patients and clients of Ironopolis.
  • To report any Information Governance issues within the workplace e.g. a loss of information.
  • To share responsibility for new protocols/procedures as and when required to address the needs of the GMS2 Contract.

Person Specification:

  • Good organisational skills.
  • Able to work as part of a team.
  • Able to build effective working relationships.
  • Able to communicate with all levels of staff as required.
  • Good written and verbal communication skills.
  • Courteous, tactful, and efficient telephone manner.
  • Proficient in Microsoft packages including Word and Outlook.
  • NVQ Level 2 in Business Admin (or equivalent).
  • Demonstrable reception skills in a GP practice (or similar environment).
