Job summary:
Iron Mountain is seeking a highly organized and detail-oriented Security Clearance Administrator to join our Global Risk team. This is a great opportunity for an administrative professional looking to develop their skills in a critical and fast-paced environment. You will report to the Director of Global Background Investigations and Risk and provide crucial, high-level administrative support to our personnel programs in the United Kingdom, and, as needed, in Europe, the Middle East, Africa, and the Asia Pacific region.
Your role in our mission:
- Program Administration & Coordination: Manage the day-to-day administrative workflow for our personnel security programs. This includes processing applications and renewal paperwork, tracking submission progress, and coordinating follow-up tasks for existing clearances.
- Essential Data and Document Management: Establish and maintain accurate digital and physical files and records. This includes tracking volumes, deadlines, and key metrics using PC-based software like Word and Excel, and ensuring all documentation is organized and auditable.
- Internal and External Communication: Serve as a primary administrative contact. Respond promptly and professionally to inquiries from applicants, internal teams, customers, and vendors. You will also schedule meetings and facilitate necessary communication with internal and external team and stakeholders.
- Process and Compliance Support: Work closely with the team to ensure administrative processes align with key industry and regulatory standards.
- General Administrative Support: Provide proactive administrative support to the wider Background Investigation team and assist with calendaring, travel arrangements (as needed), and other related projects to ensure operational efficiency.
Valued Skills and Experience:
- Experience: Proven administrative or office coordination experience where handling confidential documentation and managing complex processes was a key focus. Experience providing administrative support in a high-volume personnel screening, background check, HR administration, or corporate security environment is highly valued.
- Technical Proficiency: Strong command of Microsoft Office (especially Word, Excel, and Outlook) is essential. You should be comfortable learning new internal systems quickly and working independently.
- Attention to Detail: A high degree of accuracy and precision is non-negotiable for file management, data entry, and processing confidential applications.
- Communication Skills: Excellent written and verbal communication skills to interact professionally and clearly with various stakeholders across different levels of the organization.
As a condition of employment you must be a UK national, resident in the UK, and capable of obtaining and maintaining Personnel Security Clearance (PSC) to SC level and Non-Police Personnel Vetting (NPPV) to Level 3.
