Job Summary
Detail-oriented, highly autonomous, and proactive Transport Administrator responsible for customer service, coordinating outbound shipments, and ensuring smooth, conflict-free logistics processes at the Lutterworth facility. Serving as the central operational coordinator, this role takes complete daily ownership of site transport requirements to safeguard daily delivery standards, improve customer communication. By actively managing delivery scheduling and haulier compliance, the post-holder ensures the distribution hub operates with maximum efficiency
Key Responsibilities
- Serve as the primary, professional point of contact to book, confirm, and coordinate daily load slots directly with external hauliers and logistics partners.
- Actively maintain and update the daily dispatch and arrival schedule, preventing slot overlap, vehicle congestion, and timing conflicts.
- Creation of load manifests for groupage loas to track what is loaded when
- Track outbound shipments in real-time to identify potential delivery delays or transit exceptions early in the cycle.
- Keep internal customer service, sales, and warehouse teams fully informed regarding accurate Estimated Times of Arrival (ETAs) and shipment statuses.
- Manage the collection and verification of outbound paperwork, including consignment notes and Proof of Deliveries (PODs).
- Overseeing the retrieval of Proof of Deliveries
- Gather daily gate, loading, and transit data to build, update, and maintain weekly KPI and carrier performance reports.
- Assist in monitoring carrier Service Level Agreements (SLAs) and statutory haulier compliance through rigorous data entry, auditing, and log maintenance.
- Update warehouse databases and generate reports for management.
- Liaise effectively across departments, hauliers and customer providing excellent customer service
- Resolve customer queries and complains following an escalation process as needed
- Supplier & Customer Coordination: Communicate with suppliers and customers regarding deliveries and stock availability.
- Compliance & Safety: Ensure adherence to warehouse safety regulations and company policies.
- Administrative Support: Assist with scheduling, invoicing, and general office tasks.
- Any other duties as requested by a manager that are commensurate with your role.
Key Skills, Requirements & Competencies
- Previous established experience (3+ years recommended)
- working in high-volume, fast-paced transport office environments, warehouse administration, or supply chain management.
- Strong organisational and time-management skills with a proven track record of managing master dispatch schedules and coordinating subcontractors.
- Proficiency in IT software, carrier Transport Management Systems (TMS), and standard warehouse tracking and database platforms.
- Excellent communication, customer service, and proactive problem-solving abilities to resolve minor transit exceptions before they escalat.
- Ability to work independently as an autonomous decision-maker, as well as collaboratively part of the wider site operational team.
