This is an excellent opportunity to join a friendly, supportive and forward-thinking team where you will play a key role in the smooth day-to-day running of the office.
The successful candidate will be one of the first points of contact for clients and visitors, whilst also providing valuable administrative support across a range of business functions. This varied position would suit a highly organised, personable and proactive individual who enjoys working in a busy office environment and takes pride in delivering excellent customer service.
The Role
- Reception & Client Support
- Welcoming clients and visitors in a professional and friendly manner
- Managing incoming calls and directing enquiries appropriately
- Monitoring and managing shared email inboxes
- Ensuring messages and communications are passed promptly to the relevant team members
- Providing a professional and welcoming front-of-house experience
- Office Administration
- Managing incoming and outgoing post
- Scanning, filing and maintaining electronic records
- Supporting document management and internal filing systems
- Ordering office supplies and stationery
- Assisting with general office administration and organisational tasks
- Client & Compliance Administration
- Supporting client onboarding processes
- Assisting with Anti-Money Laundering (AML) checks and compliance procedures
- Liaising with external agencies and stakeholders where required
- Assisting with statutory and regulatory administration
- Supporting client account setup and maintenance activities
- Managing client correspondence and documentation requests
- Operational Support
- Arranging appointments and meetings
- Assisting with meeting preparation and administration
- Taking notes and minutes when required
- Supporting team events and business activities
- Providing additional administrative support to management and colleagues
About You
- Previous office administration experience
- Excellent communication and interpersonal skills
- Strong organisational skills and attention to detail
- The ability to prioritise workload and manage multiple tasks effectively
- A professional and confident approach when dealing with clients
- A proactive and positive attitude
- The ability to work independently and as part of a team
- High levels of discretion and confidentiality
- Good working knowledge of Microsoft Office, including Outlook, Word and Excel
- A willingness to learn new systems and processes
- Experience within a professional services, accountancy or client-focused office environment would be advantageous but is not essential, as full training will be provided.
