Our client, Northern Health and Social Care Trust, is seeking an Administrative/Secretarial Officer to provide high-quality administrative and secretarial support, ensuring the efficient day-to-day running of the department.
Main Responsibilities
- Provide comprehensive secretarial and administrative support to senior staff and the wider team.
- Manage diaries, appointments, meetings, and provide minute-taking and meeting administration.
- Produce and format reports, letters, forms, and other documents to a high standard using Microsoft Office and digital dictation where required.
- Manage incoming and outgoing correspondence, emails, telephone enquiries, and maintain effective communication with internal and external stakeholders.
- Maintain accurate records, filing systems, databases, spreadsheets, and computerised information systems.
- Prioritise workloads, process confidential information, and ensure administrative tasks are completed efficiently and accurately.
- Collect and collate statistical information and maintain departmental records as required.
- Provide administrative cover for colleagues during periods of absence or increased workload.
- Support the training of administrative staff and contribute to a positive, collaborative team environment.
- Maintain confidentiality and comply with Trust policies, equality legislation, information governance, and departmental procedures.
- Undertake any other duties appropriate to the role as directed by the Locality or Department Manager.
Essential Criteria
- Applicants must have either 4 GCSEs (Grades A-C), including English, or equivalent, plus at least 1 year's clerical/secretarial experience (including minute-taking), or GCSE English (or equivalent) plus at least 2 years' clerical/secretarial experience (including minute-taking).
- Applicants must also hold either a recognised IT/Keyboarding/Word Processing qualification or have at least 1 years' experience using Microsoft Word, Excel, and Outlook in an office environment.
- A full UK driving licence and access to a vehicle are essential. This requirement will be waived where a disability prevents driving, provided suitable Trust-approved alternative transport is available.
