The Administrative Assistant will report directly to the Head of People & Culture and work as part of a well-established HR team. This role will involve managing and coordinating the daily operations of the office to ensure smooth and efficient functioning. The Administrative Assistant will primarily support the HR team and Production teams by liaising with agency representatives, ensuring there is adequate staffing levels maintained across all departments.

Key Responsibilities

  • Review temporary staffing requests submitted by departments and issue labour orders to approved staffing agencies.
  • Liaise with agency representatives to ensure adequate staffing levels are maintained across all departments.
  • Track Units Per Man Hour (UPH) performance using Excel, working closely with Production Managers to reduce labour costs and achieve productivity targets.
  • Manage and organise HR documentation including employee records, contracts, and confidential files.
  • Assist with the smooth running of the office by filing and organising employee files as required.
  • Contribute to the development of a culture of integrity, collaboration, and a do-the-right-thing approach in all interactions.
  • Ensure Food Safety compliance with company policies and regulatory requirements to remain audit-ready at all times.
  • Ensure confidentiality and security of sensitive HR data at all times.

Essential Criteria

  • Minimum of 1 year experience in a similar administrative role OR working towards a business-related degree or equivalent.
  • Ability to uphold confidentiality at all times, frequently dealing with highly sensitive information.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Attention to detail and accuracy in work.
  • Excellent written and verbal communication abilities.
  • Ability to multitask and prioritise workload effectively.
  • Flexibility and adaptability in a fast-paced environment.
