Nixon McQuade is working with a leading international law firm to recruit an experienced Personal Assistant for its Belfast office. This is an excellent opportunity for a Legal PA or Legal Secretary with property experience to support senior legal professionals within a busy and collaborative team. The successful candidate will provide high-quality administrative, financial and matter-management support, helping the team deliver an efficient service to clients.

The Role

  • Provide proactive PA and administrative support to Partners and the wider legal team
  • Assist with the progression of matters, including preparing documents, processing correspondence and liaising with clients
  • Draft and format legal documentation accurately and efficiently
  • Support monthly billing by raising invoices, monitoring outstanding payments and assisting with debt collection
  • Collate, maintain and report client management information
  • Coordinate with other PAs, administrative staff and paralegals to ensure workloads are managed effectively
  • Maintain accurate records and handle confidential information appropriately
  • Follow internal policies, procedures and compliance requirements

The Person

  • Previous experience as a Legal PA, Legal Secretary or within a real estate legal support role
  • Previous experience supporting a Partner, Director or senior professional
  • Billing, invoicing or financial administration experience
  • Advanced Microsoft Office skills
  • Excellent attention to detail and a high level of accuracy
  • Strong organisational skills with the ability to manage competing priorities
  • Professional and confident communication skills
