Job Type: Temporary to Permanent

Hours: Full-Time, Monday to Friday

Shift Pattern (Weekly Rotation): 8:30am - 5:00pm, 9:00am - 5:30pm. Occasional Saturday work may be required to support operational needs.

The Bar of Northern Ireland represents and supports the independent practising barristers of Northern Ireland. Operating from Belfast City Centre, the organisation provides a range of professional support services to its members and plays a key role within the legal profession.

An opportunity has arisen for a Document & Business Support Administrator to join the team on a temporary to permanent basis.

The Role:

Working within a busy professional services environment, you will provide a wide range of document management, administrative and business support services. This role requires excellent organisational skills, strong attention to detail and the ability to deliver exceptional customer service in a fast-paced setting.

Key Responsibilities:

  • Provide document production and management services including printing, photocopying, scanning, binding and document preparation.
  • Process incoming and outgoing mail, courier deliveries and internal correspondence.
  • Prepare, collate and distribute documentation accurately and within agreed deadlines.
  • Maintain accurate records, databases and service logs.
  • Assist with stock control and replenishment of office supplies.
  • Support meeting rooms, office facilities and event set-up requirements.
  • Liaise with internal departments to ensure smooth and efficient service delivery.
  • Provide front-line support to members, visitors and colleagues.
  • Assist with reporting and administrative projects as required.
  • Ensure confidentiality and data protection standards are maintained at all times.
  • Undertake additional business support duties as required.

About You:

To be successful in this role, you will have:

  • At least 2 years' experience in an administrative, business support or office support role.
  • Excellent customer service and communication skills.
  • Strong IT skills including Microsoft Word, Excel and Outlook.
  • High levels of accuracy and attention to detail.
  • Experience managing documentation and maintaining records.
  • The ability to prioritise workloads and meet deadlines.
  • A proactive and professional approach.
  • The ability to work independently and as part of a team.

Desirable:

  • Experience within legal, professional services or document management environments.
  • Experience using Adobe software and document management systems.
  • Experience handling post room or courier administration.
  • First Aid or Fire Warden training.
  • ICT qualification or equivalent.
