BnM is hiring a Community Benefit Fund & Sponsorship Co-Ordination Specialist to coordinate and process all administrative and clerical functions of the Community Benefit Fund & Sponsorship Team with a primary focus on our Community Benefit Fund Packages across various renewable energy projects.
The main duties and responsibilities of the role will include the following:
- Work with the Communications and Engagement team and support the successful delivery of CSR and Community Benefit Funds on an annual basis.
- Assist in the development of annual programme plans to support same.
- Ensure Fund governance is adhered to and assist with Fund reporting to senior management and external stakeholders as required.
- Monitor and control Fund activities, gather and summarise the outputs of Fund work streams to ensure that deliverables are recorded and acted upon; including attending meetings to record and follow up on agreed actions.
- Prepare Fund specific control documentation using available templates, including project programmes, financial tracking, risk registers, issues log and action log.
- Co-ordinate programme communications including the preparation of meetings, reports and presentations.
- Monitor and control Fund correspondence.
- Administer the document management system and fund management system and co-ordinate the transfer of information across a diverse and multi geographical team.
- Utilise the online document control software to distribute and monitor documents for approval and ensure satisfactory revision control is maintained.
- Report Fund details and updates on external governance systems.
- Support in the procurement of all goods and services required by the Communications and Engagement team in accordance with company policy and legislative requirements.
- Prepare purchase order requisitions, co-ordinate the review of service contracts and monitor programme spend.
- Generate monthly financial report including comparison to approved budget estimate and forecast costs to completion.
- Support the wider Community Relations Programme and provide assistance as required.
- Partake in public engagement events as required, ensuring a proactive approach to community engagement in line with BnM policy is pursued.
- Liaise with management and stakeholders to keep them appraised of Fund status.
- General administration duties to include, filing, archiving, post, photocopying, diary management, scanning and preparation of reports for the Communications and Engagement Team.
- Interact with team members to plan and organise meetings as required.
- Build good working relationship with the wider BnM team to ensure that procedures and processes are understood and followed by all.
- Assist in knowledge transfer across the team and wider BnM business.
- Liaise with other enabling services teams as required to foster good working relationships to enable efficient service delivery.
- Ensure Environmental, Health & Safety management systems are followed.
- Proactively participate in the Performance Management process to ensure delivery of own, and the wider team's objectives.
- Schedule and attend meetings between various teams and project managers as required.
- Prepare presentation items for the meetings, co-ordinate meeting action logs and agenda.
- Organize and schedule meetings and events for the team.
- Engage with parties both internally and externally to ensure the flow of information and delivery of work between the parties and ensure associated documentation, files, registers and other records are maintained.
The ideal candidate will possess the following qualification, skills, knowledge, and attributes:
- Bachelor’s degree in business administration or proven data administration work experience. A recognised office management qualification is an advantage.
- 2+ years industry experience (Community Benefit Fund & CSR advantageous).
- Excellent organisational skills, with a proven ability to stay focused on assigned tasks and meet deadlines.
- Strong attention to detail with familiarity of administrative duties.
- Typing speed, accuracy and excellent spelling, grammar, and punctuation.
- Proficient in MS Office, in particular MS Excel and MS Project.
- Good knowledge and proficiency in online sharing platforms such as SharePoint, Sharefile, etc. is a distinct advantage.
- Good communication and interpersonal skills capable of maintaining strong relationships with internal and external stakeholders.
- Ability to respond to changing project timelines.
- Strong understanding of business management.
- Excellent reporting, communication and co-ordination skills.
- A self-starter who can work on their own initiative.
- Full Driving license.
- Good knowledge of GDPR and RESS Community Benefit Funds desirable.
- Good knowledge and proficiency in online fund management and fund management platforms such as Submit is a distinct advantage.
