Role OverviewWe are looking for a highly organised and detail-oriented Learning Systems Specialist to take ownership of the day-to-day running and ongoing improvement of our Learning Management System.

This role is focused on managing the system, maintaining accurate learning data, supporting users, improving processes, and ensuring the LMS is easy to navigate and reliable for employees, managers and administrators.

You do not need to be a learning design specialist. Experience with Learning Management Systems is preferred, but not essential. We are most interested in someone who is has a passion for learning and is confident working with systems, has excellent attention to detail, and can think carefully about how people experience and use a digital platform.

Key Responsibilities:

LMS Administration and System ManagementManage the day-to-day administration of the LMS, including user accounts, groups, permissions, courses, learning paths, enrolments and completion records.

Upload, test, update and archive learning content.

Maintain accurate course information, categories, tags, due dates and learning assignments.

Ensure the LMS is well organised, easy to navigate and kept up to date.

Manage routine system checks to identify errors, broken links, outdated content or inaccurate records.

Coordinate with internal teams or external suppliers to resolve system issues.

User Experience and Platform ImprovementReview how employees, managers and administrators use the LMS and identify opportunities to improve the experience.

Test learning journeys before they go live to make sure they are clear, accurate and easy to complete.

Simplify processes where possible and reduce unnecessary steps for users.

Gather and respond to user feedback.

Create clear guidance and support materials for LMS users and administrators.

Support improvements to the structure, navigation and usability of the platform.

Data, Reporting and ComplianceProduce regular reports on learning completion, mandatory training, overdue learning, usage and other agreed metrics.

Check reports carefully to ensure data is accurate before sharing with stakeholders.

Investigate and resolve data discrepancies.

Maintain clean and reliable learning records.

Support internal audits, compliance tracking and reporting requirements.

Help improve reporting processes and data quality over time.

Stakeholder SupportWork with Learning & Development, HR, compliance, technology and business teams to support LMS-related needs.

Help stakeholders understand what the LMS can do and how best to use it. Translate requests into clear system actions or requirements.

Manage LMS queries from employees, managers and internal teams. Prioritise requests effectively and communicate progress clearly.

Challenge requests constructively where they may create unnecessary complexity or a poor user experience.

Process and GovernanceMaintain clear LMS processes, standards and documentation.

Ensure naming conventions, tagging, content ownership and archiving rules are followed.

Support testing for system updates, new features, integrations or platform changes.

Keep accurate records of system changes and decisions.

Help maintain consistent governance across the LMS.Skills and ExperienceEssentialStrong attention to detail.

Confident working with digital systems or platforms.

Good organisational and administrative skills. Ability to manage data accurately.

Clear written and verbal communication.

Strong problem-solving skills. Ability to follow processes and improve them where needed.

Good judgement about what makes a system easy or difficult to use.

Comfortable working with multiple stakeholders.

Able to manage recurring tasks while maintaining accuracy and quality.

PreferredExperience administering a Learning Management System or similar platform.

Experience working with HR, learning, compliance, operations or digital systems. Experience producing reports or working with employee/user data.

Experience testing digital workflows or user journeys.

Experience creating user guidance, process documents or admin instructions.

Familiarity with mandatory training, compliance learning or employee development processes.

Person ProfileThe right person for this role will be someone who enjoys making systems work properly.

You are likely to be methodical, reliable and curious. You notice when information is inconsistent, when a process does not make sense, or when a user journey could be clearer. You are comfortable working behind the scenes to keep a system accurate, structured and useful.

You do not need to know every LMS feature on day one, but you do need to be confident learning how a system works, asking good questions, testing carefully and keeping standards high.
