Job Summary: To provide administrative and coordination support to the Health and Safety officer, ensuring compliance with health, safety, and environmental (HSE) policies, procedures, and legal requirements.
Responsibilities:
- Administrative Support: Maintain and update health and safety records, databases, and filing systems; Prepare and distribute H&S documentation, reports, and correspondence; Schedule meetings, training sessions, and site inspections; Take minutes at H&S meetings and track action items; Test fire alarms, lighting and extinguishers; Check first aid box supplies.
- Compliance & Documentation: Assist with risk assessments, method statements, and safe systems of work; Monitor and log incidents, near misses, and accidents; Support audits, inspections, and regulatory reporting requirements; Ensure policies and procedures are current and accessible.
- Training & Communication: Help coordinate health and safety training and induction records; Track certification and refresher training deadlines; Communicate H&S updates to staff and contractors.
- Data & Reporting: Help with H&S data (accidents, KPIs, trends); Help maintain contractor and supplier compliance records.
- General Support: Support wellbeing initiatives and safety campaigns; Assist the H&S Officer with ad‑hoc tasks.
Basic Qualifications:
- Essential: Strong administrative and organisational skills; High attention to detail and confidentiality; Good written and verbal communication skills; Proficient in Microsoft Office (Word, Excel, Outlook); Ability to prioritise and manage multiple tasks.
- Desirable: Previous experience in a health and safety or compliance role; Knowledge of H&S legislation (e.g. HSE, COSHH, RIDDOR – or local equivalents); Experience using H&S management systems or databases; Relevant H&S qualification (e.g. NEBOSH, IOSH – or working towards).
Travel & Work Arrangements/Requirements: Fully site based; Part‑time - 09:30‑14:30 Mon‑Fri.
