Administrative Support Specialist
We are looking for a highly organised and reliable Administration Assistant to provide high‑level administrative and operational support to management.
This fully home‑based position supports managers primarily in the United States and senior managers in the United Kingdom.
The role requires detail‑oriented, proactive, and self‑directed work across a fast‑moving environment.
Key Responsibilities
- Provide comprehensive administrative support to management, including calendar coordination, meeting organization, and follow‑up actions.
- Prepare, format, maintain, and distribute documents, reports, presentations, and routine correspondence.
- Organise, record, sort, and maintain files and information in line with internal standards.
- Manage email and information flow, respond to inquiries, and route requests appropriately.
- Coordinate travel arrangements, meetings, and appointments as required.
- Operate standard office systems and tools to support daily administrative activities.
- Support managers with administrative tasks across finance, planning, HR, IT, and other corporate services.
- Assist with data tracking, reports, and preparation of materials for leadership discussions.
- Act as a coordination point between managers and internal teams, supporting clear communication and execution.
- Proactively track action items, deadlines, and deliverables to ensure follow‑through.
- Bring structure to complex workflows, support process consistency, and identify opportunities to improve administrative efficiency.
- Work confidently with systems, data, and reports to ensure accuracy and transparency.
- Handle sensitive and confidential information with discretion and professionalism.
- Work Arrangements
Full‑time, fully home‑based role – flexible working by arrangement. Supports US‑based managers but does not require US time‑zone work.
Qualifications
- High School Diploma or equivalent.
- Minimum of 3 years of experience in an administrative, secretarial, or similar support role.
- Strong organizational, prioritization, and time‑management skills.
- Proficiency in Microsoft Office tools (Outlook, Word, Excel, Power Point).
- Strong written and verbal communication skills in English.
- Ability to work independently in a remote setup.
- Experience supporting senior managers or leadership teams (preferred).
- Experience working in an international or matrix environment (preferred).
- Comfort working with data, reports, and structured processes (preferred).
