The predicted salary is between 28800 - 43200 £ per year.
The Project Administrator will provide efficient and effective admin support to the Angola projects, working alongside the Project Manager, Project Engineers and project teams to ensure that projects and objectives are delivered on time, within scope and to the agreed budget.
Day to day tasks are as follows (but not limited to):
- Internal Communication: Liaising with the project teams to provide clerical and administrative support.
- Stakeholder Communication: Liaising with suppliers, contractors, and freight forwarders.
- Updating and maintaining comprehensive project files & documentation (e.g. Control files, RFQ files,shipping documentation, procurement documentation).
- Record Keeping: Maintain accurate records of quotations, purchase orders, invoices, shipments and supplier information while also updating the project control files.
- Researching new suppliers for the Request for Quotation (RFQ) or Invitation to Bid (IFB) process, whilst updating and maintaining the supplier database.
- RFQ administration: drafting RFQs to suppliers, gathering quotations, and tracking the RFQ process from sending to receiving responses.
- Raising Purchase Orders
- Invoice Processing: Receiving, verifying, and recording invoices from suppliers, ensuring they are accurate and match purchase orders prior to the approval process.
- Assist with the planning and co-ordinating of Shipments including all shipping documentation.
- Maintaining accurate records and updating finance files for month-end reporting, supplier payment reports, cashflow etc.
- Planning and co-ordinating of meetings, including effective minuting of meetings.
- General administrative duties as required to support the projects and projects team.
- Plan own workload and daily activities to meet team objectives to ensure completion of project administrative tasks.
Candidate Requirements:
- Previous Project Administration experience in a similar role.
- Well developed organisational skills, including time management skills
- Excellent communication skills both written and verbal
- Excellent PC skills (Excel, Word, PowerPoint, Gmail)
- Excellent problem solving skills
- Logistics experience desirable
