Job Specification – Family Activities Co‑ordinator
Reports to: Family Activities Manager
Works closely with: Operations & Events Assistant, Marketing & Communications Manager, Head of Safeguarding (Foundation), Head of Community Engagement, Head of Women’s Football (ITFC Women), Women’s Team Player Care (ITFC Women), Head of Operations and Compliance, and all departments within the organisation.
Role Overview
Ipswich Town Foundation is seeking to recruit a full‑time Family Activities Co‑ordinator to plan and deliver exceptional matchday and non‑matchday experiences for children through the power of Ipswich Town Football Club. The role will lead the planning and delivery of matchday experiences at both men’s and women’s home matches and non‑matchday experiences such as birthday parties at Portman Road. The postholder will play a key role in creating memorable experiences for children, families and supporters, whilst actively increasing participation and fan engagement.
Key Responsibilities
Matchday Experiences – Matchday Experience and Fly the Flag
- Manage the end‑to‑end administration of the Foundation’s Matchday Experience and Fly the Flag initiatives.
- Process bookings accurately through the SRO Unify system.
- Liaise with team coaches and participants to ensure all relevant information is communicated effectively and in a timely manner.
- Work closely with the ITFC Ticketing Team to coordinate ticket requirements.
- Attend pre‑match meetings to communicate key details with key members of staff across all matchday departments.
- Ensure matchday experiences are delivered safely, professionally and to a consistently high standard.
- Identify opportunities to enhance the customer experience and maximise revenue.
- Conduct post‑experience surveys to gather feedback and identify opportunities for continuous improvement.
Birthday Parties
- Coordinate and deliver engaging birthday party experiences during weekends and school holidays.
- Act as main point of contact for enquiries and bookings.
- Communicate booking requirements and event details to delivery staff and the Club’s Venue Team.
- Liaise with parents to ensure expectations are met and special requests are accommodated where appropriate.
- Monitor customer satisfaction and implement improvements to enhance the experience.
- Support the growth of Birthday Parties to maximise income opportunities.
Women’s Team Fan Engagement
- Lead the planning and delivery of FanZone activities at the JobServe Community Stadium for all weekend home fixtures.
- Pro‑active approach to using fan engagement strategies to boost attendances.
- Co‑ordinate mascot experiences and associated administration.
- Identify opportunities to enhance the customer experience and maximise revenue.
Junior Blues / Foundation wide
- Support the Family Activities Manager with Junior Blues memberships through the season, acting as a deputy for any queries internally and externally.
- Have a full understanding of the Junior Blues offering on both matchdays and non‑matchdays.
- Work across Foundation events where required.
Safeguarding
- Ensure full compliance with Ipswich Town Foundation safeguarding policies and procedures.
- Maintain accurate safeguarding records and report concerns in line with policy.
- Undertake relevant safeguarding and CPD training as required.
Person Specification
Experience
Essential
- Demonstratable experience of children’s event planning and delivery.
- Experience working within a customer‑facing environment.
- Experience working with children and families.
- Proven ability to organise multiple activities and bookings simultaneously.
Desirable
- Experience organising and/or working at children’s birthday parties.
- Experience using booking systems such as SRO.
- Experience within a football club, charity or sports foundation environment.
- Experience managing fan engagement or supporter events.
