The Role: Work closely with operational, administrative and clinical colleagues to deliver day‑to‑day operational running of the service. Deliver excellent communication, organisation, and teamwork in a fast‑moving environment.

Responsibilities:

  • Assisting in the service delivery of the Operations Department, working closely with the Clinical Management Team.
  • Regularly liaising with Operational, Clinical and Finance colleagues both at Gatwick and remote locations.
  • Coordinating all clinical team and bank medics, ensuring tasks meet client needs.
  • Utilising a bespoke database for staff and workload management.
  • Using management information to ensure sufficient resource availability and address projected shortfalls.
  • Answering or redirecting queries in line with company processes and policies.
  • Assisting in coordinating key operational projects and new initiatives.
  • Working within Clinical guidelines provided by the CMT.
  • Providing shared coverage of the company’s on‑call service overnight on weekdays 18:00–08:00 (on‑call payments apply).
  • Providing shared coverage at weekends on a rota basis (on‑call payments apply).
  • Providing weekend ops support to the Clinical case worker during operations; minimal support required.

Requirements:

Experience:
  • Working in a customer service/administration environment (essential).
  • Using Microsoft programmes and databases (essential).
  • Interacting with independent third‑party clinical staff, working remotely (desirable).
  • Working within Emergency Medical Repatriation Services (desirable).
  • Assigning work to a remote team, preferably international (desirable).
  • Dealing with medical professionals and patients (desirable).
  • Ability to speak languages other than English (desirable).
Skills:
  • Effective communication with internal and external customers and excellent customer service.
  • Identifying and implementing ways to improve customer service functions.
  • Clear and concise written and spoken communication, friendly telephone manner.
  • Attention to detail and accurate recording of information.
  • Ability to make decisions quickly and under pressure.
  • Planning and organising workloads in a fast‑moving environment.
  • Prioritising and meeting KPIs in a demanding environment.
  • Working on own initiative with minimal supervision.
  • Team worker, flexible with a positive attitude to learning and self‑development.
