Our client, a leading European IP law firm, is seeking a Patent Administrator to support a team of three busy Attorneys in their Guildford office. Key responsibilities include:
- Drafting correspondence for review prior to sending
- Maintaining electronic files using the document management system
- Managing formalities relating to filings, grants and validations, including preparing documents for signature, monitoring deadlines and chasing outstanding items
- Preparing patent applications and formalities documents, updating the CRM system where required
- Managing short, medium and long-term deadlines, including identifying when reminders or extensions are needed
- Processing incoming electronic correspondence
- Updating databases with key dates and clearing deadlines once matters are completed
- Opening and maintaining new patent, design and miscellaneous files
- Entering filing details and diarising fees where necessary
- Reporting patent publications to clients and managing follow-up actions
- Checking grant certificates prior to sending to clients
- Updating records with EPO and EUIPO fee instructions
- Maintaining records including name changes, assignments and references
- Drafting correspondence relating to foreign filings and publications
- Processing foreign filing receipts and diarising subsequent due dates
- Liaising with the Renewals team as required
- Preparing invoices, debit and credit notes
- Adjusting work in progress and applying client-specific discounts
- Arranging meetings, travel and itineraries
- Managing caseloads and monitoring deadlines
- Liaising with clients and handling calls and emails when required
- Providing cover and support to other Patent Administrators
- Maintaining client information on the CRM system
- Undertaking any other reasonable administrative duties
