We are recruiting a fantastic opportunity for an experienced Senior Trade Mark Legal Assistant to work for our client, a leading European IP law firm based in the City. As a Senior IP Legal Assistant at the firm you will be required to support Fee Earners in key areas and be delegated tasks which will include:

  • Liaising directly with clients and foreign agents and handling all queries.
  • Filing and recording of assignments and other name/address changes.
  • Obtaining and managing owner/applicant signatures, notarisation and legalisation of documents.
  • Handling and co-ordinating trade mark applications.
  • Producing high quality, accurate correspondence (email and letters) to clients, agents and patent/trade mark offices (PTOs).
  • Checking and managing your own and Fee Earner’s diary and reminder systems on a daily basis.
  • Conducting regular meetings with Fee Earners to review outstanding actions and plan and prioritise work.
  • Maintaining Case and Client Files within the Document Management System (DMS).
  • Compiling/drafting official forms, such as those submitted to PTOs.
  • Managing own and Fee Earner WIP, by producing Invoice Requests and reviewing/amending draft invoices.
  • Documenting key processes and keeping documented processes current.
  • Double checking work processed by others.
  • Supporting and inputting into project work, including business change and systems projects.
  • Monitoring and managing email Inboxes – including shared Inboxes, Fee Earner Inboxes, and secure document exchange portals.
  • Preparing cost estimates and forecasts.
  • Preparing and checking client portfolio reports and forwarding to clients.
  • Handling enquiries from clients and foreign agents.
  • Ensuring details on the CRM system are maintained accurately.

In addition, as a senior member of the team, you will be expected to act as a role model assisting in team motivation and mentoring.

To make a successful application you will have:

  • A minimum of 4 years previous IP / Trade Mark administration experience.
  • Clear understanding of the trade mark cycle, plus management of formalities requirements.
  • Good working knowledge of Word, Excel, online filing/document submission platforms across relevant IPOs, Outlook, DMS and Inprotech.
  • Ideally be CITMA qualified.
  • Strong literacy skills and a good eye for detail.
  • Ability to work under pressure and meet tight deadlines calmly and efficiently.
  • Excellent communication skills to liaise confidently with fee earners, clients and all other members of the firm.
