We are looking for an experienced IP Records Administrator to join a leading IP law firm. This is an exciting opportunity to become part of one of Europe’s leading specialist Intellectual Property firms, where you will play a key role in supporting a fast-paced and highly collaborative Records function. The Records team is central to the smooth running of the firm, ensuring that all key communications, application actions, deadlines and documentation are accurately tracked and updated on the firm's Document Management System.

You will be responsible for managing a broad range of records-related activities, including:

  • Updating and maintaining records relating to client instructions, grants, invoices, fees and certificates
  • Monitoring and processing time-sensitive case actions and communications
  • Ensuring data accuracy across multiple systems and workflows
  • Managing high volumes of work while meeting strict deadlines
  • Supporting colleagues and stakeholders across the business with records and case information

This is a detail-focused role where organisation, accuracy and the ability to prioritise effectively are essential.

To succeed in this role, you will have:

  • Previous experience working as an IP Administrator or in Records or Renewals within an IP firm
  • Experience working in a high-volume administrative environment
  • Strong attention to detail and the ability to work accurately with complex information
  • Excellent planning and organisational skills
  • A proactive and self-motivated approach
  • Strong communication and problem-solving skills
  • The ability to work effectively both independently and as part of a team, in the office and remotely
  • Good IT skills, including experience with Microsoft Office and document management systems
  • The confidence and adaptability to learn new systems and processes
