Role: Events & Digital Administrator
Reporting to: Head of Events
We welcome applications for part-time (around 4 days per week) or full-time. Supporting the high-level administrative and technical support for the IOM3 Events programme. This role is the first line of contact for all delegate communications and the lead operator for the IOM3 webinar programme. The Events & Digital Administrator will be joining our busy events team playing a vital role in ensuring data accuracy across our event systems and supporting the team through a major digital transformation project.
Duties will include, but are not limited to:
- Registration & Enquiry Management: Act as the primary point of contact for all delegate, speaker, and sponsor enquiries across our events portfolio. Manage the registration database, ensuring all attendee records are accurate and up to date. Monitor the shared inbox, resolving the majority of queries and escalating complex logistical issues to the Senior Event Project Managers or Head of Events when necessary. Take full ownership of the end-to-end administration of the webinar programme. Manage the webinar platform, including scheduling sessions, conducting speaker technical rehearsals, and live event hosting. Coordinate post-event recordings, delegate attendance data, and feedback surveys.
- Technical & App Support: Perform high-volume data entry and cleaning (formatting spreadsheets) for our mobile event apps. Upload speaker bios, headshots, and session descriptions into the app backend. Assist the Head of Events as required with User Acceptance Testing (UAT) for the new Digital Transformation (DX) project, following simple testing scripts to identify software bugs.
- Onsite & Logistics Support: Provide online and occasionally onsite support during events as required. Assist with the logistics for events, including coordinating badge printing data and signage lists. Support the team with administrative tasks for our event programme.
