We are seeking a highly organized and proactive Pre-Construction Coordinator to join our growing team. This pivotal role provides administrative, coordination, and documentation support to the Pre-Construction and Estimating teams, ensuring the smooth and efficient management of tendering processes, document control, and stakeholder communication. The successful candidate will play a key role in supporting the business across multiple departments during the early stages of project development.
Key Responsibilities:
Bid & Tender Support:
- Coordinate and assist in the preparation of Invitations to Tender (ITTs), Requests for Proposals (RFPs), and pre-qualification documents.
- Organize and compile bid submissions, ensuring accuracy, consistency, and compliance with client requirements and deadlines.
- Liaise with internal teams and external consultants to gather necessary input for tender documents.
Document Control:
- Manage and maintain version control of all pre-construction documentation.
- Ensure consistent naming conventions, filing systems, and access control using project platforms (e.g., Aconex, Procore, SharePoint, or similar).
- Track and update drawing registers, schedules, and other controlled documents.
Administrative Support
- Provide general administrative support to the pre-construction and commercial teams including meeting scheduling, note-taking, and data entry.
- Maintain trackers for bids, submissions, and approvals.
- Assist with compiling presentations, reports, and other collateral for internal and external use.
Cross-Departmental Coordination:
- Support departments including Estimating, Design Management, and Planning by facilitating smooth information flow and coordination.
- Act as a central point of contact during tender periods to ensure all departments meet submission timelines and requirements.
System and Process Support:
- Support IT and digital tools used in the tendering and documentation process.
- Recommend and implement process improvements to streamline coordination and enhance efficiency.
