Key Tasks:

  • Ensure visitors/calls are dealt with in a welcoming, courteous and professional manner, seeking to anticipate their needs where possible.
  • Ensure guests and visitors to site are greeted with a courteous friendly manner and inform their host promptly.
  • Ensure the image of front of house is maintained.
  • Process and monitor requests to book meeting rooms/training rooms, ensuring all requirements are satisfied (AV, seating layout, hospitality, climate). Monitor conference room booking system to deliver a proactive and professional service to clients.
  • Log, monitor, and update helpdesk calls for faults and required improvements; update and complete when applicable.
  • Ensure that clients' security and emergency procedures are adhered to at all times, taking an active role in an evacuation of the building as laid down in the Incident Control procedures.
  • Liaise with security to ensure overall service to users in the building is maintained.
  • Maintain security and safety standards as required, ensuring that visitors are escorted and contractors do not have access to areas without the appropriate authorisation or supervision.
  • Monitor and procure stationary office consumables.
  • Work with and support other members of the team.
  • Follow all Health & Safety and Environmental requirements that are defined on work instructions or communicated in training.
  • Carry out Mail Room activities including receipt, sorting and distributing incoming and outgoing post to and from mail collection points, keeping post tray names up to date, ensuring areas are tidy and that uncollected post is distributed.
  • Check that printers and photocopiers are supplied with paper and change toner cartridges when required.
  • Monitor and maintain stationery levels.
  • Deliver goods received to correct destination/person.
  • Co-ordinate site waste and recycling arrangements.
  • Coordinate with landlord and carry out statutory fire testing and associated checks.
  • Co-ordinate with Security and report any faults on access entry system where necessary.
  • Raise Purchase Orders for goods or services as required, in compliance with business controls at all times.
  • Approve invoices, goods received notes, and statements for payment purposes.
  • Take ownership and understand customer requirements and demonstrate the ability to close out concerns, ensuring the customer is kept appraised at all times.
  • Provide and arrange cover for the FM team as defined by line management.
  • In addition to the above mentioned tasks, other activities and responsibilities may be individually defined.
  • Responsible for the image and visual standards of the site/s, taking ownership of any issues or concerns.
  • Primary focus on delivery of all FM Operations SLA’s in accordance with KPI & Output measurements.
  • Co-ordinate with FM Operations and Critical Service teams to deliver service level agreements.
  • Support/Monitor 3rd party maintenance supplier activities when required and report any corrective works arising.
  • Comply with HSE requirements as outlined within the SLA and as instructed by the company policy.
  • Act as a part of the site Emergency team, i.e. Fire Marshall, as required for emergency control activities.
  • Report all accidents, occupational illnesses, and emergencies in relevant books/documentation.
