The role: The Facilities Manager will be responsible for day-to-day management of all of the “soft services” contracts including but not necessarily limited to manned guarding, reception concierge, common parts cleaning, waste management, internal and external landscaping and planting contracts, ensuring that the contracts operate safely, efficiently and cost effectively to provide an exemplary level of service to all building occupiers and tenants.
The responsibilities:
- To pro-actively manage the day-to-day operations of the soft services Contracts and agreement in place at the building
- Monitor and review the services provided by the contractors and ensure that the contractual terms of any relevant contracts are being fully met
- To establish and validate contract and supplier costs and provide these to the Building Manager for inclusion into the annual service charge budget
- Issue instructions and arrange for the raising of purchase orders in respect of services and materials necessary for the effective operation of the soft services contracts
- Attend regular site-based contractor review meetings
- Establish and manage procedures for monitoring and benchmarking supplier and contract performance
- To liaise with commercial and retail tenants and occupiers on general occupational issues
- To ensure that all relevant health and safety, statutory and best practice policies and procedures are managed and adhered where these relate to appropriate areas of responsibility
- Work with the portfolio compliance manager to ensure that the estate processes and procedures meet the relevant ISO standards to maintain ISO certification
- Monitoring of general estate condition and identification of health and safety issues or areas of improvement
- Work with the portfolio ESG manager to facilitate ESG related initiatives and processes where relevant and appropriate
Candidate specification:

- The ability to communicate in a clear and concise manner
- Demonstrable knowledge and comprehensive understanding of facilities management
- Experience and competency in the management of ISO standards compliance and reporting
- Good understanding of financial management and accounting processes
- A strong technical understanding of commercial office building operations and services
- Full understanding and experience of setting contract KPI’s and management of contractor performance
- Knowledge and experience in health and safety management. Demonstratable skills and experience in project management
- Strong time management and delegation skills
