Role Overview
We are partnering with a leading independent insurance broker to recruit a Facilities & Operations Manager to support the smooth running of their City of London office.
This is a varied role combining traditional facilities management responsibilities with broader operational support.
Approximately 50% of the role will focus on facilities management and 50% on business operations, making it ideal for someone who enjoys working across workplace, people, suppliers and office operations.
You will be responsible for delivering an exceptional workplace experience while ensuring the office operates efficiently, safely and professionally.
This role will be based 4-5 days a week in their London office.
Key Responsibilities
- Facilities Management (50%)
- Manage the day-to-day facilities operation of the London office.
- Act as the main point of contact for all facilities-related issues.
- Manage relationships with landlords, managing agents and external service providers.
- Ensure compliance with health & safety regulations and company policies.
- Conduct workplace inspections, audits and risk assessments.
- Coordinate office moves, reconfigurations and workplace improvement projects.
- Manage facilities budgets, contracts and supplier performance.
- Support business continuity, emergency procedures and workplace resilience planning.
- Oversee maintenance, repairs and planned preventative maintenance programmes.
- Operations & Workplace Support (50%)
- Support the leadership team with office operational requirements.
- Drive workplace initiatives that enhance employee engagement and office experience.
- Manage office supplies, inventory and procurement activities.
- Coordinate onboarding and workplace setup for new joiners.
- Support internal events, meetings and client-facing activities.
- Review and improve office processes, policies and procedures.
- Assist with operational reporting, administration and project coordination.
- Work closely with HR, IT and business leaders to ensure effective office operations.
- Role Requirements
- Experience in a Facilities Manager, Office Manager, Workplace Manager or Operations Manager role.
- Experience within insurance, financial services, professional services, legal or corporate environments is highly desirable but not essential.
- Strong knowledge of facilities management, office management and workplace operations.
- Excellent stakeholder management and communication skills.
- Proven ability to manage multiple priorities in a fast-paced environment.
- Commercially aware with strong organisational and problem-solving skills.
- Comfortable taking ownership and working autonomously.
