This is an excellent opportunity for a SHEQ professional looking for a broad and varied role across management systems, compliance, auditing and operational support. As the Management Systems Officer for the Group, you’ll support the delivery and continual improvement of integrated SHEQ systems, helping ensure effective governance, compliance and best practice across the organisation. You’ll be involved in a wide range of activities including internal audits, policy and standards management, legal compliance monitoring, training coordination and supporting the ongoing development of SHEQ frameworks and programmes. We’re looking for someone who combines strong analytical skills with a practical, collaborative approach and the confidence to work across multiple business areas. There may be occasional UK travel to support audits, training and stakeholder engagement activities.
Key Responsibilities
- Management Systems
- Support development, implement, and maintain integrated management systems in line with organisational and regulatory requirements.
- Ensure policies, procedures, and processes are documented, controlled, and regularly reviewed.
- Support risk identification and mitigation planning to support business objectives.
- Monitor system performance through defined KPIs and management reporting.
- Facilitate management review meetings and present performance data and improvement recommendations.
- Drive continuous improvement initiatives, including corrective and preventive actions.
- Audit
- Maintain and provide continual improvement to the Group Audit programme.
- Conduct audits in line with the group audit programme.
- Prepare audit plans, define scope, and establish audit criteria.
- Lead opening and closing meetings with relevant stakeholders.
- Document audit findings clearly, including nonconformities and improvement opportunities.
- Track and verify completion of corrective actions.
- SHEQ Competence and Training
- Support development and maintenance of the competency framework aligned to SHEQ organisational roles and responsibilities.
- Develop learning materials, presentations, and supporting documentation.
- Coordinate training with the Group Training Manager.
- Facilitate training sessions in line with SHEQ requirements.
- Evaluate effectiveness of training and implement improvements where required.
- Ensure training delivery complies with relevant internal and external requirements.
- Legal Compliance
- Monitor, interpret, and ensure compliance with all relevant legislation and regulatory requirements.
- Review organisational policies and practices to maintain conformity with current laws, conducting compliance reviews and risk assessments.
- Engage and liaise with regulatory bodies and external stakeholders regarding compliance matters.
- Advise management on legal obligations and strategies for mitigating risk.
- Maintain compliance records and registers, supporting investigations as necessary to evidence conformity.
- Standards and Policies
- Maintain, develop and review organisational standards and policies within the QMS.
- Ensure policies are aligned with industry best practice and regulatory requirements.
- Manage document control processes, including version management and approvals.
- Communicate policy updates effectively across the organisation.
- Provide guidance and clarification on standards and policy requirements.
- Conduct periodic reviews to ensure continued relevance and effectiveness.
- DSE Programme Manager
- Responsible for compliance of the Display Screen Equipment (DSE) programme.
- Ensure compliance with relevant health and safety legislation relating to DSE.
- Develop and implement DSE policies, procedures, and assessment processes.
- Oversee DSE risk assessments and ensure appropriate corrective actions are implemented.
- Provide guidance and training to employees and managers on DSE requirements.
- Monitor programme performance and report compliance metrics to senior leadership.
- Coordinate reasonable adjustments and ergonomic interventions where required.
Skills, Knowledge and Expertise
- SHEQ Qualification or related field within compliance.
- Membership with a professional body i.e., IOSH or equivalent (desirable).
- Proven experience in auditing, scheduling or advisory roles.
- Proven track record of implementing and improving management systems (e.g. ISO 9001, 14001, 45001 or equivalent).
- Demonstrated understanding of legal and regulatory compliance.
- Strong analytical and problem-solving skills.
- Excellent communication and interpersonal abilities.
- Ability to interpret complex SHEQ data or information and present it clearly.
- High attention to detail, data accuracy and organisational skills.
