We are looking for a proactive and personable Office Coordinator to support the smooth running of our London office. This role combines day-to-day office coordination with planning and delivering internal functions, while also providing professional reception cover. You'll be the face of the office, ensuring a welcoming environment for staff and visitors alike.
Key Responsibilities:
- Office Coordination: Oversee the general upkeep and presentation of the office space. Manage office supplies, post, deliveries, and liaise with suppliers and building management. Support health & safety compliance. Assist with onboarding new starters, including creating logins for system administration accounts and access passes. Coordinate meeting room bookings and office equipment maintenance.
- Internal Functions: Plan and deliver engaging internal events such as team socials, seasonal celebrations, and wellness initiatives. Manage and adhere to event budgets, negotiate with catering suppliers, and ensure all expenses are tracked and reported to the correct cost centres.
- Reception: Provide front-of-house support including greeting guests, answering calls, and registering visitors onto our online portal. Ensure the reception area is tidy, professional, and welcoming at all times. Handle ad hoc administrative tasks and support wider office operations. Work Front of House between 16.00 - 18.00 and during lunch, providing holiday cover. Hours will change to dictate what events need covering accordingly. Use your creativity and organisational skills to contribute to our mission of delivering exceptional service to our office.
Requirements Skills & Experience:
- Previous experience in office coordination, administration, or front-of-house roles.
- Strong organisational and multitasking skills with a keen eye for detail.
- Excellent communication and interpersonal abilities.
- Confident using Microsoft Office and Google Workspace; this includes Google Forms, Excel, Outlook, and Word.
- A positive, can-do attitude and a passion for creating a great workplace experience.
Desirable:
- Experience working in a fast-paced or creative environment.
- Experience being client/customer facing.
- Basic knowledge of UK workplace health & safety standards.
