We are seeking a highly organised and proactive Executive Assistant with strong writing, research, and project coordination skills to support our growing portfolio of creative and public-sector projects. This role is ideal for someone with experience in bid and tender writing, who can also assist with day-to-day operations, project documentation, and executive support across multiple workstreams. You will be a key part of a dynamic team delivering impactful projects in the creative, cultural, and public art sectors.

Key Responsibilities

  • Research and write compelling bids, tenders, proposals, and supporting documents
  • Support the director with executive-level administrative tasks, calendar management, and communications
  • Assist in preparing presentations, reports, and supporting materials for pitches and stakeholder meetings
  • Conduct background research on opportunities, funding streams, competitors, and partners
  • Track tender deadlines and manage submission schedules and documentation
  • Coordinate across teams to gather required information and ensure timely delivery of proposals
  • Maintain and update project timelines, budgets, and shared folders
  • Liaise with external suppliers, clients, and collaborators professionally and promptly
  • Support ad hoc tasks and contribute to a positive, productive working environment

Requirements

  • Proven experience supporting bid/tender writing or working in a business development or project support role
  • Strong writing, editing, and document formatting skills

  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Experience with project management tools (e.g. Project.co and Monday.com)
  • Confident communicator with strong attention to detail
  • Able to work independently and take initiative when needed
  • Knowledge of public sector or arts/cultural procurement is desirable but not essential
