Responsibilities
Job Overview
We are looking for a highly organised and proactive Venue Sourcing Executive to join our growing team, supporting a key client with their venue sourcing needs for ad hoc meetings, dinners, and small-scale events. This role is integral to ensuring that each event aligns with both logistical requirements and brand standards, by identifying the perfect venue, negotiating effectively, and maintaining outstanding client and supplier relationships.
This position calls for a detail-oriented individual with strong communication skills, venue knowledge (especially in London, Manchester, and Dublin), and the ability to manage multiple live projects simultaneously. A background in sourcing would be preferred or natural personal interest in restaurants, hotels, venues and unique spaces, being an administrative wizard and comfortable facilitating payments are essential.
KeyResponsibilities
- Interpret and manage client briefs, ensuring clarity and alignment with event needs.
- Conduct thorough research (online, phone, in-person) to identify suitable venues or destinations.
- Negotiate venue rates and concessions, always seeking best value for the client.
- Create bespoke proposals and detailed cost sheets in PowerPoint and email format within our template.
- Develop, build and maintain excellent relationships with clients, venues, and suppliers.
- Manage multiple sourcing projects at once while maintaining high service levels.
- Ensure deadlines are met and stakeholder communication is timely and clear.
- Support the development of processes to scale and improve the sourcing service.
- Maintain accurate and up-to-date project reporting and ensure timely reconciliation.
- Facilitate client payments using appropriate financial platforms (invoices, credit cards).
- Keep CRM systems and internal data trackers current for performance and trend reporting.
- Attend supplier events, dinners, and networking opportunities to stay informed of new venues and industry trends predominately in London and Manchester.
- Continuously grow venue knowledge through site visits, fam trips, and industry events.
Qualifications
Requirements
- Proven ability to work under pressure in a fast-paced environment with strong multi-tasking abilities.
- Excellent verbal and written communication skills.
- Deep knowledge of small to mid-sized UK venues, hotels and hot restaurants, particularly in London, Manchester, and Dublin will be a distinct advantage; international venue knowledge is a plus.
- Customer service experience, ideally within the MICE or events industry a bonus.
- High attention to detail and strong literacy/numeracy skills.
- Experience managing multiple concurrent projects effectively.
- Proficient in Microsoft Office, especially PowerPoint and Excel.
- Comfortable using various platforms for venue research, including social media and search engines.
- Positive, can-do attitude with a passion for creating exceptional event experiences.
- Minimum of 2 years’ experience in a relevant role either the MICE industry—agency, hotel, or venue-based or as an effective PA or administrator.
- Previous venue sourcing experience is highly desirable.
