The Onboarding & Engagement Specialist supports the delivery of consistent, engaging onboarding and employee experience across the IYF. The role focuses on coordinating onboarding operations, delivering orientation and briefing sessions, and supporting cross‑functional engagement initiatives.

What will you be doing?

The Fédération Internationale de la Jeunesse, in English International Youth Federation (IYF), is an international non‑profit youth organization network governed by the present Statutes and the Swiss Civil Code. It is politically neutral and non‑denominational, aiming to empower youth worldwide. The IYF is a global youth network, an organization advocating for change and connecting countries to knowledge, experience, and resources to empower young people across the world. IYF works in over 50 countries and territories, helping to achieve youth empowerment and improve the status of youth. The IYF Bureau of Management has direct responsibility for the management and oversight of the organization and provides leadership, advisory, and management support to the IYF Headquarters and other executive branches. The role of the Central Human Resources Division (CHRD) is to provide the IYF and its leadership with the best strategic HR advice. Leading the provision of HR business‑focused services, the team delivers best‑practice HR services and interventions that deliver results.

Responsibilities

  • Onboarding Coordination & Delivery
    Coordinate and manage the onboarding ticketing system to ensure timely processing of new starter requests, access, and onboarding activities. Act as a central point of contact for onboarding‑related coordination across HR, Digital, and relevant internal teams. Maintain and regularly update onboarding materials, including new starter presentations, guides, and onboarding resources. Support the planning and delivery of onboarding schedules to ensure a smooth and consistent experience for all new starters.
  • Orientation & Briefing Sessions
    Prepare and deliver general onboarding and orientation briefing sessions on a bi‑weekly or monthly basis for new staff and volunteers. Ensure onboarding sessions clearly communicate organizational structure, values, policies, and ways of working. Gather feedback from participants to continuously improve onboarding content and delivery.
  • Cross‑Functional Collaboration
    Work closely with the Digital team to coordinate system access, digital tools, and onboarding‑related platforms. Collaborate with Executive Affairs to align onboarding and engagement activities with organizational priorities and events. Support coordination of organizational activities that enhance connection, communication, and engagement across teams.
  • Engagement & Volunteer Initiatives
    Support the design and implementation of employee and volunteer engagement initiatives, including surveys, feedback tools, and pulse checks. Assist in analysing engagement data and summarising insights for the Talent Manager to inform improvements. Contribute to volunteer engagement initiatives aimed at strengthening connection, participation, and retention.
  • Continuous Improvement & Support
    Identify gaps and improvement opportunities in onboarding and engagement processes and propose practical solutions. Support the Talent Manager in implementing enhancements to onboarding and engagement frameworks.
