This role will support the Operations Team, responsible for H&S globally, covering both IWG's Employees and our Managed Products to ensure there is a robust H&S System in place to reduce the potential for injury and ill health and ensure the health, safety, and wellbeing of our clients.
Key Responsibilities:
- Central point of contact and coordination for Health, Safety & Compliance globally, working closely with IWG’s regional H&S consultant.
- Undertake research as required and develop pragmatic solutions to meet H&S requirements of the countries in which IWG operates.
- Build strong relationships with the global Managed Teams to ensure the highest standards of Health & Safety for IWG's clients, inducting new starters to the business in our H&S Arrangements.
- UK Health, Safety & Compliance lead.
- Monitor internal stakeholders’ operations against the processes and standards set by the H&S Management System and escalate instances of non-conformance.
- Administration of meetings and events, including bookings, invites, collation of agenda and slide pack, minutes, communication, and invoicing.
- Manage H&S Inbox, coordinate the inwards and outwards flow of information.
- Responsible for publishing and updating risk logs, compliance trackers, training trackers.
- Production and analysis of Health, Safety & Compliance data and statistics, escalation of trends.
- Support Monthly/Quarterly H&S Performance Reviews with Managed Teams and Regional H&S Consultant Leads.
- Development and ongoing management and improvement of data reporting tools, for both H&S KPIs, Managed Business units and the Supply Chain.
- Track and monitor key compliance activity, reporting, and statutory obligations.
- Work with other business units such as Managed, BI and SRM teams to share and manage reporting of data and improve utilisation of tools.
- Management and administration of IT System, such as Safety Culture & Incident Reporting system, provision of training and information to users, keep system up to date with latest improvements and seek system development.
- Monitor changes in legislation and update legal registers accordingly.
- Oversee incident reporting and investigation, including investigation reporting and closing out of follow-up corrective actions.
- Management and coordination of the IWG H&S Training Matrix, course organisation.
- Coordinate engagement and communication activity for internal and external stakeholders, including safety bulletins, process changes and updates to the H&S SharePoint site.
- Ensure accurate system of recording, documenting, and updating H&S standards, working within the framework of the 9001-quality management system.
- Provide support to IWG Group colleagues and supply chain to ensure the implementation of the Reporting & Investigating Incidents Procedure.
- Manage the tracking of all events via the reporting system and ensure these are triaged to provide an appropriate level of investigation by the responsible person.
- Review the quality and adequacy of investigations completed by IWG Colleagues or its appointed supply chain/landlord. Make recommendations as needed to ensure the completeness of investigation.
- Track the delivery of corrective/preventative actions identified by investigations to ensure close out of these.
- Engage IWG's leadership teams and supply chain in the learnings and improvements identified through investigations.
- Undertake evaluations of H&S PQQ’s for prospective suppliers of the IWG Group, make recommendations on the suitability of the proposed suppliers.
- Provide support to the IWG Group through the completion of H&S due diligence requests from IWG's Clients or via supporting an H&S audit conducted by IWG's Clients.
- Translate and deliver the measurement, auditing, reporting and communication of non-compliance to defined internal processes and standards and legislative requirements to identify and promote best practice and areas of continuous improvement across the managed team.
- Complete the initial and annual review of Site Based Risk Assessments for both IWG offices and IWG Managed Offices.
- Prepare task-based risk assessments and method statements for activity undertaken by IWG employees. Undertake an annual or bi-annual review as agreed.
- As required, undertake reviews of third-party/supply chain risk assessments, as part of mobilisation or when new or complex processes are introduced.
- As required, complete the initial and subsequent reviews of risk assessments for new and expectant mothers.
- As required, complete risk assessments for young persons employed by or who are undertaking work experience with the IWG Group.
- As required, develop Personal Emergency Evacuation Plans (PEEPs).
- Work with IWG's outsourced DSE provider to support triage and recommendations.
Key Skills:
- NEBOSH General, International or Construction Certificate (Essential).
- Facilities Management, Fit-Out, Corporate, Retail or Real Estate sector experience (Essential).
- NEBOSH Fire Certificate (Preferred).
- NEBOSH Diploma or studying towards (Preferred).
- IOSH Membership – Tech Level (Preferred).
- Understanding of project delivery within a fast-paced business environment with the ability to work well under pressure.
- Demonstrated capability for problem solving, decision making, sound judgement and analysis.
- Able to communicate, engage and energise at a senior level across the organisation.
- Excellent oral and written communication skills as well as excellent presentation skills.
- Strong IT aptitude shown through use of O365 products.
