About the Role:
We are seeking a proactive and well‑organised Business Support Adviser to support the business divisions of IWCF and enable them to function efficiently. This includes support in the following areas: IT, Finance, Contracts, Insurance, Facilities Management, Health & Safety and sustainability (ESG).
As Business Support Adviser, you will:
- Oversee IT activities such as equipment provision and software licences.
- Oversee HSE.
- Provide operational and administrative support.
Responsibilities:
- IT Support: IT support across all IWCF functions ensuring that appropriate IT equipment is available for staff. Primary contact for external IT support. Ensuring compliance with cyber security requirements, Cyber Essentials certification. Renewal of software licences and certificates. Advise on audiovisual equipment for meeting rooms. Ensuring audiovisual functionality of meeting rooms for remote conferencing.
- Facilities Management: Contract negotiation/management of supplier contracts for shredding, air con‑servicing/maintenance, office lease agreement, cleaning services and any other contracts related to office management. Ensuring that IWCF facilities are secure, this includes both office space, meeting rooms and technical facilities. Responsible for managing secure access to office facilities and maintaining an accurate record of staff attendance for health, safety and fire control purposes.
- HSEQ: Responsibility for IWCF meeting Health and safety requirements. Primary point of contact for Fire Safety, ensuring proper fire protection of facilities and equipment maintenance as required by law.
- Operational and Administrative Support: Support the Finance team with banking, invoices, and purchase orders as required. Support the CEO by being the first point of contact for company related data protection enquiries and Subject Access Requests. Be responsible for company insurance policies ensuring that IWCF have all policies required by law and business needs. Provide guidance and recommendations on appropriate insurance policies and coverage related to different jurisdictions in line with business needs, including travel insurance. Be responsible for driving environmental sustainability governance (ESG) ensuring compliance with requirements and certification as appropriate. Comply and uphold the company’s policies and procedures, such as health and safety, IT, security, email and anti‑virus policies and equality and fair treatment. Be flexible to carry out any other reasonable task as requested within the office environment.
Candidate Requirements:
- Good IT skills and knowledge are essential.
- Proficient in the use of Excel and Word.
- Knowledge of data protection legislation.
- Knowledge of HSE requirements for small businesses.
- Ability to build supportive relationships with everyone across the company.
- Ability to deal with confidential matters with discretion and tact.
- Makes commercial business decisions and is resilient in the face of resistance.
- Ability to work collaboratively with managers and senior management to resolve issues to acceptable outcomes.
- Experience of working in a regulated environment.
- Previous experience with handling lease agreements and contracts.
- Experience in obtaining legal advice relating to insurance requirements.
- Positive and enthusiastic attitude.
- Excellent communication skills with an ability to influence at all levels.
- Able to multi‑task, manage time effectively and keep calm under pressure.
- Proactive approach to all aspects of work.
