About ISH Venues Located in the heart of central London, ISH Venues offers eight versatile meeting and event spaces within International Students House, hosting a wide range of events from conferences to live music shows. With a focus on charity, local authorities, corporate clients, and international organizations, ISH Venues supports a diverse array of activities through its unique brands, including 229 The Venue for live music events.

The Role As a Conference and Events Coordinator, you will be a key player in ensuring the seamless planning and execution of events at ISH Venues. You’ll work closely with the Operations Supervisor and liaise with clients, ensuring that all event requirements are met, from room setups to technical support. You will be instrumental in making sure our spaces are fully utilised while providing excellent customer service.

Key Responsibilities

  • Client Liaison
    • Serve as the primary point of contact for event clients on the day of their booking.
    • Meet and greet clients, ensuring they’re comfortable and informed, including providing fire safety briefings.
    • Maintain customer satisfaction, addressing concerns swiftly and professionally.
    • Collaborate with the catering team to ensure timely delivery of food and beverages.
    • Build positive client relationships to encourage repeat business.
  • Technology & Equipment Management
    • Oversee all audio-visual and technical requirements for events.
    • Provide troubleshooting and support to clients or liaise with external technicians for larger events.
    • Ensure equipment is well-maintained, properly stored, and secure.
    • Assist with equipment stock takes and identify purchasing needs.
  • Team Supervision
    • Supervise the event porters, ensuring room setups meet client specifications.
    • Monitor team performance and report any issues to the Operations Supervisor.
    • Ensure all team members adhere to health and safety guidelines, including the correct use of uniforms and personal protective equipment.
  • Room Set-ups & Maintenance
    • Organise room layouts and equipment setups in accordance with event specifications.
    • Ensure rooms, furniture, and equipment are cleaned, fault-free, and properly maintained.
    • Report any defects or issues to the facilities department promptly.
    • Maintain orderly and secure storage of event materials and equipment.
  • Administration
    • Handle event-related paperwork, including signage, floor plans, and handovers.
    • Assist with regular equipment stocktakes and ensure that the event booking system (Rendezvous) is up to date.
    • Assist with clerical tasks, such as taking phone calls and coordinating with the sales team as needed.
  • Health & Safety
    • Enforce safe working practices, focusing on manual handling and overall event safety.
    • Conduct regular site walks to ensure the venue is in good condition, reporting any safety or security concerns to the Operations Supervisor.

Working Hours & Benefits Summary:

  • £28,808 40-hour week with some flexibility for evenings/weekends
  • 28 days holiday (rising to 30 with service, inclusive of Bank Holidays)
  • Contributory pension (SAUL)
  • Travel loan & health cash plan after probation
  • £3.00 meal allowance per shift
