The Registrar is the first point of contact for new families interested in enrolling their children in the school. This position is responsible for providing a seamless enrolment experience and ensuring all required documents are collected in compliance with MOEHE requirements.

Registrar is responsible for liaising with MOEHE and maintaining student records at the school level, processing student enrollment, transfers, and withdrawals. The Registrar is also responsible for leading the registration process from the point of issuing an Offer Letter to the pupil starting school, ensuring maximum conversion of Offers to Enrollments.

Key Duties and Areas of Responsibility:
  • Managing Engage and MOEHE portal
  • The contact person for all parents once they accept the offer
  • Collect required documents from parents (identification paper / school or medical reports / information / school forms…)
  • Send new parents’ welcome package / required documents / School forms
  • Follow up with new parents on registration fees payment
  • Follow up with parents to comply with MOEHE requirements for new children
  • Issue Transfer certificate, leaving certificate and any other relevant documentation required from MOEHE portal.
  • Upload the students results on MOEHE portal after approval from Principal and SLT.
  • Complete the promotion of students after uploading results to MOEHE portal
  • Add subjects / new classes on MOEHE portal as required
  • Liaise with MOEHE for new grades requirements
  • Liaise with MOEHE with fees / discounts approvals
  • Ensure that school marketing materials are in line with MOEHE regulations
  • Be the source of knowledge to admissions and SLT when it comes to MOEHE regulations
  • Update admissions toolkit / tour script / school forms needed for enrolment / welcome package as required.
  • Update Engage with relevant templates for communication with parents
  • Follow up on re-enrolments and reports as per ISP KPIs
  • Report on leavers following ISP regulations
  • Assist the school during inspections
  • Assist admissions with calls / events / tours as required.
  • Assist admissions in promoting the school to generate new leads
  • Work closely with finance and school nurse
  • Ensure Engage is updated with information for child and parent.
  • Ensure class lists, parents contact details and students’ details are kept updated.
Required Skills And Knowledge:
  • Bachelor’s Degree from a relevant field
  • English and Arabic speaker
  • MOEHE previous experience
  • At least 4 years of working experience in Qatar
  • Presentation skills
  • Articulate, communicative, and able to present information in a concise and professional manner
  • Organization skills: well organized and able to prioritize tasks
  • Customer service
