We are seeking a proactive, organised and digitally confident Event Systems Digital Lead to support the digital infrastructure and attendee experience across our international B2B conferences and exhibitions. This role will take ownership of attendee-facing systems and digital event platforms, including registration systems, event websites, portals, event apps, attendee databases, digital content uploads, reporting and user experience support. The successful candidate will play a key role in ensuring a smooth and professional delegate journey from registration through to on-site participation and post-event engagement. This is a hands-on coordination role suited to someone who enjoys engaging with technology platforms, problem solving, data management and working in fast-paced live event environments.

Key Responsibilities

  • Delegate Registration & Database Management
    • Manage delegate registration systems and attendee databases
    • Monitor registration activity and attendee reporting
    • Coordinate attendee data imports, exports, cleansing and migration between systems
    • Maintain accuracy and consistency of attendee information across platforms
    • Support badge data preparation and attendee list management
    • Troubleshoot delegate registration, login and access issues
    • Support data handling, GDPR compliance and internal database organisation
    • Coordinate exchange of payment processing information with Accounts Team
  • Event App Management
    • Manage setup and configuration of event mobile applications
    • With the help of the events team, coordinate attendee, speaker, exhibitor and sponsor uploads into app platforms
    • Upload and maintain agendas, schedules, speaker profiles, maps, networking features and announcements
    • Coordinate app content updates and ensure consistency across digital platforms in coordination with the Marketing Manager
    • Test app functionality and user experience prior to launch
    • Assist delegates with app-related support and troubleshooting ahead of and during live events
    • Coordinate push notifications and live updates during events
    • Monitor app engagement and post-event analytics
    • Liaise with app providers and external technology suppliers to keep abreast of technology/industry developments
  • Website, Portal & Digital Platform Management
    • Maintain and update event websites, portals and attendee platforms
    • Upload and refresh digital content in coordination with the team, including:
      • Speaker profiles
      • Agendas
      • Exhibitor listings
      • Sponsor information
      • Event resources
      • Announcements
      • News updates
    • Embed forms, registration links, surveys, videos and integrations into websites and portals
    • Coordinate content consistency across websites, registration systems, apps and digital platforms
    • Monitor website usage, visitor behaviour and engagement analytics
    • Support SEO improvements and Google search visibility for event websites
    • Identify opportunities to improve user journeys and attendee experience across digital platforms
    • Perform testing and quality assurance checks across attendee-facing systems

    • Basic understanding of HTML or no-code website builders

It is not a marketing or exhibitor management role, but rather a specialised coordination position supporting the digital delegate experience and operational event systems behind international conferences and exhibitions. As part of a small and collaborative team, the successful candidate will be expected to provide flexible support across a range of event activities and projects as required. The role will evolve alongside the company’s growing portfolio of international events and digital event platforms.
