The Role of the PA

The PA to the MD provides essential administrative and organisational support, ensuring smooth daily operations. This role involves managing calendars, scheduling meetings, coordinating travel, and handling correspondence. The PA also prepares, and edits documents, assists in event planning, and liaises with various departments to facilitate effective communication.

Additionally, the role requires handling sensitive information with confidentiality, supporting Heads of Departments, managing the Office Manager to ensure smooth operations.

Key Responsibilities:

  • Provide comprehensive administrative and organisational support to the Managing Director, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Act as the first point of contact for the Managing Director, handling correspondence and phone calls discreetly and efficiently.
  • Prepare and edit communications, presentations, and other documents for internal and external audiences.
  • Assist in the preparation and execution of corporate events, board meetings, and senior management gatherings.
  • Liaise with other staff members and departments to ensure smooth communication and prompt resolution of requests and queries.
  • Handle sensitive information with the highest degree of integrity and confidentiality.

Line Management:

  • Serve as the line manager to the Office Manager and Admin team, providing guidance, support, and performance management.
  • Oversee the daily operations of the office, ensuring a productive and efficient work environment.

Event Planning and Coordination:

  • Collaborate with the marketing and communications team to develop event concepts and themes that align with the company’s strategic objectives.
  • Manage event budgets, negotiate contracts, risk assessments with vendors and service providers, and ensure all expenses are tracked and within approved limits.
  • Coordinate all logistical aspects of events, including venue selection, setup, catering, audio-visual equipment, transportation, and accommodation arrangements.
