We're looking for someone who doesn't just organise work but makes sure it gets done.

The Role

International Insignia is an established UK merchandise and garment branding business supplying universities, museums, heritage organisations, visitor attractions and retailers. We're looking for an exceptional Business Coordinator to work directly with our Managing Director. This isn't a traditional PA role focused on diaries and travel. You'll become a central point of coordination across customers, suppliers, purchasing, projects and internal teams. Our MD is entrepreneurial and ideas driven. Your role is to bring structure around that, prioritising, following things through, solving problems and progressively taking responsibility for routine matters that currently reach the MD.

One part of your day could involve an overseas supplier, another preparing a customer costing, another tracking an incoming order and another coordinating a project across the business.

What You'll Be Doing:

  • Help manage and prioritise the MD's inbox, actions and workload.
  • Identify what's urgent, what can wait and what can be dealt with independently.
  • Draft and respond to emails where appropriate.
  • Keep track of decisions, actions and outstanding matters.
  • Prepare customer quotations using established costing methods.
  • Research previous orders, prices and products.
  • Communicate with UK and international suppliers.
  • Request and chase prices, production information and delivery dates.
  • Raise and track purchase orders through to delivery.
  • Keep Sales and Operations updated on incoming stock and changing dates.
  • Turn discussions and ideas into clear actions, owners and deadlines.
  • Maintain projects and actions using (url removed).
  • Follow up colleagues and suppliers to ensure actions are completed.
  • Identify problems, blockers and loose ends before they become bigger issues.
  • Help document processes and business knowledge.
  • Identify opportunities to simplify, automate or improve how we work.
  • Support the introduction of new order, stock and business systems.

About You

You're someone who naturally likes getting things finished. If you're given responsibility for something, people shouldn't need to keep asking whether it's been done. You track it, chase where necessary, resolve what you can and close the loop. You work with pace and understand commercial urgency. You can look at ten things that need doing and recognise that two matter far more than the other eight. You learn quickly, look for answers and apply what you've learned rather than automatically asking someone else. You're proactive, dependable and comfortable making sensible decisions within agreed boundaries. You'll also be comfortable working in an entrepreneurial SME where priorities can change and not every answer is already written in a procedure. You can bring structure to an environment rather than needing the environment to already be structured for you.

What We're Looking For:

  • Experience in business support, executive support, project coordination, purchasing, operations, account management, commercial administration or a similar role.
  • Excellent organisation and prioritisation skills.
  • Strong written and verbal communication.
  • Confidence dealing with customers and suppliers.
  • Good numerical ability and confidence with pricing / costings.
  • Strong Microsoft Office skills, particularly Outlook and Excel.
  • Strong digital skills and ability to learn new software quickly.
  • High attention to detail and personal responsibility.
  • Comfortable using initiative and solving problems independently.

Experience with purchasing, stock / inventory, manufacturing, ecommerce, ERP / CRM systems, (url removed), international suppliers or AI tools would be useful but isn't essential. Industry experience isn't required. We're more interested in how quickly you can learn.

Opportunity to Develop

This role could suit an experienced Senior Administrator, Executive Assistant, Project Coordinator, Operations Coordinator, Purchasing Coordinator, Account Manager or Office Manager who feels capable of more responsibility. You don't need to arrive as a finished Business Manager. We're looking for somebody with the potential to develop into one. For the right person, there is genuine opportunity for this position to develop into a broader Executive Business Manager role over time.
