SALARY: Range of £25,000-£27,000

HOURS: Full-time, 35 hours per week, plus 6 weekend exam sessions per year (paid additionally at test day rates)

LOCATION: Covent Garden, London

ANNUAL LEAVE: 30 days + Public holidays

Job Overview:

Join International House London as our Resource Planning Coordinator and play a key role in ensuring the smooth running of our exam operations!

With your keen eye for detail and excellent coordination skills, you'll help us deliver exceptional test day experiences while supporting our growing team of test day staff.

  • In this role, you’ll support the scheduling, onboarding, and day-to-day administration of a large pool of casual staff. From arranging training and managing payroll queries to coordinating logistics and maintaining exam board systems, you’ll be the go-to person for making sure everything runs like clockwork.
  • You’ll have the opportunity to work collaboratively across departments, influence improvements in staff processes, and ensure we meet the high standards set by our exam board partners.
  • Working in our dynamic Exams team, you’ll gain insight into the fast-paced world of high-stakes assessments, develop a broad skill set in HR coordination and admin, and help support life-changing educational journeys.

Qualifications and experience

Essential:

  • Experience managing multiple administrative processes
  • Strong organisational and time management skills
  • Excellent interpersonal and communication abilities
  • Confident IT user across a range of systems
  • Comfortable working independently and under pressure
  • High attention to detail and numerical accuracy

Desirable:

  • Previous experience in exams administration
  • Experience working with international candidates or clients

Skills and competencies

Essential:

  • A proactive approach to problem-solving
  • Ability to prioritise tasks in a busy environment
  • Confidence in dealing with confidential data
  • Flexible team player willing to support others
  • Commitment to providing outstanding support to candidates and staff

Desirable:

  • Familiarity with UK exams boards and test delivery procedures
  • Understanding of DBS, right to work checks, and safeguarding best practices
