To support Four Marketing Groups workforce by providing an effective, efficient and proactive administration, partnering with the relevant hiring manager to support all aspects of the employee lifecycle for our client groups.

The HR & Recruitment Coordinator plays a key role in supporting the employee lifecycle and recruitment process. This role ensures high-quality HR administration, a positive candidate and employee experience, and compliance with employment legislation and organisational policies. Aligned with the CIPD Profession Map, the role contributes to building a fair, inclusive and high-performing people function.

You will be organised, proactive and with a keen eye for detail and a desire to pursue a career within Human Resources. The post holder will also play a role in supporting in project work and research tasks.

Client Group Support

  • To support as required with full 360 administration for relevant client groups throughout the employee lifecycle, during times of peak activity, including, but not limited to offer letters, contracts of employment, references, variation letters and leavers.
  • To support with relevant international HR processes, to ensure relevant procedures are completed efficiently, accurately and within a timely manner.
  • To support in relevant employee relations cases by attending meetings and taking full, accurate notes as required.
  • To assist with Finance and Retail commission reporting.
  • To undertake direct meetings with employees in relation to queries as required.

HR System (BambooHR)

  • To answer and effectively address any queries presented by your relevant client groups in relation to using the self-service HR system.
  • To use the system proactively to run periodic reporting to analyse trends and highlight any potential issues to the relevant HR team members. This will include sickness absence levels, annual leave planning and training requirements.
  • To ensure starters, leavers and changes for the relevant client groups as required are processed on the system within the timelines specified in department SLAs.
  • Contribute to the continuous improvement of HR systems, policies and processes.
  • Utilise data to support HR decisions, such as time-to-hire, diversity metrics, and attrition data.
  • Confidently use digital HR tools (e.g., HRIS, ATS, Microsoft Office).
  • Identify opportunities for automation and process improvement.

Recruitment and Talent Development

  • Support the Recruitment and HR Manager with end-to-end recruitment processes, including job adverts, screening, CVs, short-listing, scheduling interviews, and managing candidate communications and coordinating interviews.
  • Liaise with hiring managers to understand role requirements and provide advice on recruitment best practices.
  • Manage candidate tracking and status updates via the ATS (Applicant Tracking System – BambooHR). Support onboarding activities, including contract preparation, background checks, and induction scheduling.
  • Ensure the quality of the candidate experience, curating feedback responses to unsuccessful applicants, and undertaking initial telephone screenings in a professional, brand-appropriate manner.
  • Support with the Group performance review processes, collating performance review documents, ensuring these are appropriately filed and collating relevant information on trends and themes to support the relevant HR partner in identifying and addressing key development and training needed.
  • Support the organisation of training and development activity, ensuring all relevant logistics are considered and in place to enable these events to run smoothly.

Project Support and Other

  • To support in collating information to inform HR projects and strategy implementation.
  • To undertake ad-hoc research projects to help aid the department in the formulation of strategic plans.
  • To work collectively and collaboratively as a key part of the overall Group HR Team, contributing effectively to team meetings, HR planning and to support in wider group projects if required.
  • To support the people, experience, providing emergency coverage of office management and front of house tasks if required.

Successful Candidates Will

  • Always maintain the highest standards of confidentiality and impartiality/fairness.
  • Must have a good working knowledge of GDPR and related legislation, particularly regarding its application in HR matters.

>
