Overview
Purpose of the role: Provide administrative support to ensure Franchise Partners and Wholesale accounts orders are processed and stock fulfilled accurately and on time. To provide analytical support within trading and sell-in analysis to contribute to meeting sales targets and maximise opportunities. To provide service excellence to our Partners and Customers in line with our brand values.
Main duties and responsibilities
- Stock Fulfillment & Invoicing: Daily review of available stock for each account, working to collection and shipping parameters. Run and check allocations for Franchise and Wholesale nominated accounts, ensuring 100% fulfilment. Closing of manifests to prompt invoicing and dispatch of orders. Book shipments on pre-agreed, bespoke customer portals. Co-ordination of dispatches to customers in the UK, US and EU, ensuring on time deliveries. Ensure all export documentation is compliant to the Country of delivery. Raise stock shortfall issues identifying actions to flag to wider team. Process of invoices, debits and credits for Partners & Accounts. Liaison between Credit Control and Finance teams to facilitate accurate and timely shipments within credit limits.
- Order Management: Seasonal order book management for Franchise & Wholesale nominated accounts through our in-house order systems. Process of order confirmations, invoices, debits and credits. Create, manage and update delivery schedules for nominated accounts. Liaise with Buying and Production teams for any stock and product queries. Attend weekly delivery meeting and communicate back updates.
- Sales, Trading & Analytical Support: Day to day contact and support for nominated accounts to analyse trade and identify opportunities for new and re-orders. Support the Sales & Operations Manager analysing sell through to maximise sales. Communicating deliveries, delays and updates back to the nominated accounts on an ongoing basis. Ensuring we are actively selling from our available to sell stock pool. Generating the weekly stock lists to send to all accounts. Daily management of sales email inbox relating to areas of responsibility. Align and co-ordinate with the other Executive on the team ensuring a collaborative approach and consistency of operations.
- Selling Campaigns & Sample Management: Support the creation and upkeep of linesheets within Joor (selling portal platform). Support the Sales Manager in preparation for collection previews and co-ordination of appointments. Support the Sales Manager in sales appointments. Maintain the department sample set within continuity collections and co-ordinate sample requests with the design team for relevant meetings/events.
