Job Description: Executive Assistant to Business Head – Sales
Location: This is a London-based role. 5 Days Onsite
Role Summary: We are seeking a high-caliber, proactive Executive Assistant to support our Business Head of Sales. This is a pivotal role that goes beyond traditional administrative support; you will act as the 'right hand' and strategic gatekeeper, ensuring the Business Head’s time is optimized and the sales leadership team operates at peak efficiency. The ideal candidate is a master of multitasking, a discreet professional, and a cultural champion who can drive employee engagement within the London Office.
Key Responsibilities:
- Executive Support & Communication
- Primary Point of Contact: Act as the lead liaison between the Business Head, the CEO, leadership, employees, clients, and external partners.
- Information Flow: Manage and filter the flow of information from the Business Head’s desk, ensuring all internal and external correspondence is handled with speed and accuracy.
- Communication Design: Format and draft professional memos, emails, high-impact presentations, and comprehensive reports.
- Gatekeeping: Screen and direct phone calls and distribute incoming correspondence to the appropriate stakeholders.
- Logistics & Administrative Excellence
- Calendar Management: Proactively manage complex calendars, resolving scheduling conflicts and setting up internal/external meetings.
- Travel Coordination: Arrange end-to-end domestic and international travel, including flights, visas, and accommodation.
- Financial Tracking: Track daily expenses and prepare accurate weekly, monthly, and quarterly expense reports.
- Office Management: Oversee the performance of clerical staff and maintain office supply inventory to ensure a seamless working environment.
- Meeting Governance: Attend key meetings to take detailed minutes and track action items to completion.
- Engagement & Culture
- Monthly Huddles: Organize and coordinate monthly huddles to ensure alignment on business updates.
- Employee Engagement: Design and execute engagement activities to foster a high-performance, positive team culture.
- Executive Hospitality: Coordinate business lunches, executive tea/coffee sessions, and networking events for senior leadership and clients.
Requirements & Skills:
- Experience: Proven track record as an Executive Assistant for CEO or Director-level leadership (or similar senior PA role).
- Technical Proficiency: Advanced knowledge of MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Organization: Outstanding organizational and time-management skills with the ability to prioritize under pressure.
- Tech-Savvy: Familiarity with modern office gadgets and applications (e.g., e-calendars, video conferencing, and digital filing systems).
- Communication: Exceptional verbal and written communication skills with a refined professional tone.
- Integrity: Absolute discretion and a deep understanding of handling confidential business information.
- Education: High School degree; a PA diploma or professional certification is considered a strong advantage.
