The Role
We are currently looking to recruit an Office and Projects Administrator for our PMO & Transformation department. You will be involved in all aspects of office administration for the Leicester premises, including supporting EHS compliance.
What will you be doing?
- As an Office and Projects Administrator, you will be involved in administration duties including, but not limited to; visitor management, supporting hospitality requests for visitor requirements, distribution of post and procurement of consumables to maintain adequate supplies across all functions and office areas.
- Serve as a point of contact for incoming calls to the main company line. Professionally screen, prioritise, and direct calls to the appropriate individuals or departments, ensuring timely and accurate message handling. Maintain a courteous approach and uphold a positive company image through consistent, high-quality telephone engagement.
- Support the maintenance of site contracts (Boss Court) and associated service level agreements as necessitated by the terms and conditions of the office lease and other site-based contracts. Maintain supplier and contractor information as appropriate to the equipment or service provided. As applicable, liaise with the Landlord to ensure building facilities and services are well maintained, fully compliant and safe. Progress all matters and actions associated with maintenance, repairs, and cleaning.
- With direction from the Projects and Continuous Improvement Manager, support the introduction and maintenance of company specific requirements for Environmental, Health and Safety (EHS) and applicable Health and Safety regulations. Ensure Aspire’s EHS processes and procedures remain aligned with those in place for the shared premises. Support in ensuring all employees are adequately trained in EHS and office related matters and procedures.
- Conduct bona fide checks for new customers and suppliers as directed by the International Sales & Exports team.
- Conduct ad-hoc administrative tasks, including project support, as required by the Projects and Continuous Improvement Manager and Senior Leadership, i.e., preparation of reports and presentations and/or collating data.
