About the Role
We are looking for a proactive and organised Facilities Assistant to join our Estates & Facilities team.
The role combines reception, administration and facilities support, serving as the first point of contact for colleagues, visitors and contractors.
Key Responsibilities
- Direct support to the Facilities Manager.
- Support the Head of Estates and Facilities with mobilisation and operational setup of services on a new start‑up project.
- Update maintenance or CAFM systems with completed tasks (e. g., Top Desk Reporting Portal).
- Assist with purchase orders and supplier management.
- Maintain accurate records, logs and compliance documentation.
- Monitor and report progress against mobilisation objectives, escalating risks or delays as required.
- Help embed a consistent Estates and Facilities service model across the new site and existing organisational locations.
- Required Qualifications
- Previous administration experience.
- Excellent communication and customer‑service skills.
- Experience using IT systems, spreadsheets and reporting tools.
- Strong organisational skills and attention to detail.
- Ability to work independently and as part of a team.
- Proactive approach and ability to prioritise competing tasks.
Desirable Qualifications
- Experience in a reception or facilities support role.
- Administration experience within healthcare, estates or facilities environments.
- MS Office qualifications, NVQ Level 2 Administration (or equivalent).
- Full driving licence.
