About the Role

We are seeking a Document Controller / Administrator to support an industrial construction project, ensuring all project documentation is managed efficiently and administrative processes run smoothly. The successful candidate will play a key role in maintaining accurate records, ensuring compliance with industry standards, and providing administrative support to the project team.

Key Responsibilities

  • Manage and maintain all project documentation, ensuring accurate filing and version control.
  • Process and distribute documents according to company and client requirements.
  • Ensure compliance with industry regulations, ISO standards, and project procedures.
  • Track and log incoming and outgoing documents, maintaining a clear audit trail.
  • Assist in the preparation of reports, method statements, and technical documents.
  • Coordinate with contractors, engineers, and project managers to ensure documentation is up to date.

Administrative Support

  • Provide general administrative support to the construction team, including scheduling meetings and preparing correspondence.
  • Support with staff bookings for hotels, cars, etc.
  • Maintain registers for drawings, permits, contracts, and site records.
  • Assist with procurement documentation, invoices, and purchase orders.
  • Liaise with site personnel, subcontractors, and suppliers to ensure smooth communication.
  • Manage document archiving and retrieval in line with company policies.

Requirements

  • Previous experience in a Document Controller or Administrator role within construction, engineering, or industrial projects.
  • Strong knowledge of document management systems.
  • Excellent organisational skills and attention to detail.
  • Strong communication skills and the ability to work collaboratively with multiple teams.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Ability to work under pressure and meet deadlines.
  • Training will be provided on specific client software.
