Part-Time Facilities Coordinator (0.5 FTE - 20 hours/week) Site Based Position - Portsmouth
Overview
Provide operational oversight of all facility delivery aspects for Saronic based in Portsmouth, ensuring alignment and engagement with Saronic operations while maintaining quality management standards and compliance. This is a site based role based in the Portsmouth facility.
Key Responsibilities
- Operational Management
- Conduct operational oversight of all delivery aspects and maintain alignment/engagement with Saronic leadership
- Ensure quality management of service delivery and compliance coverage across all facility operations
- Perform value for money assessments and introduce new solutions as needed
- Manage scope adjustments to match evolving Saronic operational needs
- Conduct periodic site visits to assess facility conditions and vendor performance
- Vendor & Service Coordination
- Oversee general cleaning services including coordination of confidential waste removal, snack/fridge restocking, and periodic window cleaning
- Coordinate contracted suppliers delivering PPM & reactive maintenance, cleaning services, pest control, and confidential waste collection services
- Oversee compliance for fire life safety systems including fire alarms, extinguishers, and emergency lighting and associated statutory compliance
- Administrative Functions
- Manage office supplies procurement and inventory (excluding cleaning consumables)
- Coordinate subcontractor visits
- Utilise Work Order Management System for service requests, tracking and finance reporting
- Procure and manage office drinks and snacks with restocking coordination
- Compliance & Safety
- Ensure all contractors maintain warranty compliance for repairs and maintenance
- Ensure all services delivered comply and adhere to health & safety & regulation requirements
- Conduct site visits to verify compliance and service quality
Work Arrangement
Primary work location: Portsmouth facility. Flexible scheduling to accommodate both management and on-site requirements.
Qualifications
- Facilities management experience
- Strong vendor management and coordination skills
- Knowledge of building systems (HVAC, electrical, plumbing)
- Experience with work order management systems
- Excellent communication and problem-solving abilities
- Ability to work independently
Reporting
Reports to JLL Account Director with regular engagement and alignment with Saronic leadership on facility matters.
