What We’re Looking for

The Electrical Administrator plays a key role in supporting the Electrical Department by ensuring compliance, maintaining accurate documentation, coordinating labour and materials, scheduling training and maintenance activities, and assisting with the delivery of electrical projects. The role requires strong organisational skills, attention to detail, and a good understanding of the electrical contracting industry and regulatory requirements.

Key Responsibilities

  • Compliance & Documentation
    • Process, review, and file Electrical Installation Test Certificates and associated documentation.
    • Monitor industry standards and regulations relevant to the company’s scope of works and notify the Duty Holder Person (DPH) and Qualified Supervisor (QS) of any updates or changes required.
    • Maintain and update NICEIC complaints records and associated documentation.
    • Monitor test equipment records and maintain consistency and accuracy documentation.
    • Maintain records of all electrical test equipment and arrange calibration in accordance with NICEIC requirements.
    • Liaise with the SHEQ Department regarding updates to Health & Safety policies and procedures.
    • Assist the DPH and QS with supervisor interviews, recording outcomes and any required follow-up actions.
    • Monitor company insurance renewal dates and obtain updated policy documentation upon renewal.
    • Maintain and update Work in Progress (WIP) records in line with NICEIC requirements.
    • Assist the DPH and QS in ensuring all electrical certification is completed, reviewed, and correctly stored within project files.
  • Maintenance & Labour Scheduling
    • Support the Electrical Team Leader in allocating planned and reactive maintenance works to ensure timely completion.
    • Review project and factory programmes with the Electrical Team Leader to identify labour requirements.
    • Coordinate with approved electrical subcontractors and labour providers to secure supplementary labour when required.
    • Assist the Electrical Team Leader with sourcing and ordering electrical materials, equipment, and components.
    • Obtain alternative supplier quotations to ensure competitive procurement.
    • Monitor outstanding orders and back orders, escalating delivery delays to management and the Electrical Team Leader.
    • Track material deliveries and ensure order requirements are fulfilled.
  • Goods Received & Accounts Support
    • Collate delivery notes and verify received goods against purchase orders.
    • Prepare and forward delivery documentation to the Accounts Department for processing.
    • Monitor outstanding deliveries and work with the Electrical Team Leader to resolve shortages and back orders.
  • Staff Training & Competency Management
    • Assist the NICEIC DPH and Qualified Supervisor in maintaining Continuing Professional Development (CPD) records for electricians.
    • Monitor employee training, qualifications, and certification expiry dates.
    • Arrange and book relevant training courses to maintain workforce competency.
    • Monitor JIB/ECS card status, arrange Health & Safety assessments, and coordinate renewals of expired cards.
    • Liaise with the Operations Team to coordinate electrical site works for both subcontractors and in-house engineers in accordance with project programmes.
    • Request and obtain RAMS (Risk Assessments and Method Statements) from subcontractors and the SHEQ Department.
    • Ensure relevant site documentation is distributed to the Operations Team before project commencement.

Skills & Experience

  • Previous administrative experience within the electrical contracting or construction industry.
  • Strong knowledge of compliance documentation and certification processes.
  • Excellent organisational and time management skills with the ability to manage multiple priorities.
  • Strong attention to detail and accuracy in record keeping.
  • Effective communication and coordination skills.

Technical Skills

  • Proficient in Microsoft Office applications, particularly Microsoft Excel.
  • Experience using NICEIC Cert Software (CertSuite) and/or NICEIC Clicks Software.
  • Familiarity with electronic document management systems.

  • Able to work effectively under pressure and meet deadlines.
  • Proactive and capable of working independently.
  • Professional and confident when liaising with internal departments, suppliers, subcontractors, and external bodies.
