IOM3 is the leading membership organisation for the materials, minerals and mining sectors, currently hiring for a Facilities and AV Assistant based in the London office at Warren Street. The role comes with an excellent benefits package including:

The Facilities & AV Assistant plays an integral role in ensuring smooth day-to-day operation of the building, with a particular focus on supporting meetings and events. As part of the Front of House team, the Facilities & AV Assistant will report to the Business Support Manager. Regular hours for the Facilities & AV Assistant are 07:30-16:30, with paid overtime for evening and weekend functions. All front of house staff is expected to have a first aid & Fire Marshal qualification, and where necessary appropriate training is provided.

Responsibilities

  • Set up meeting rooms, including layout adjustments and furniture arrangement
  • Provide AV support and assist event organisers with presentations and hybrid meeting setups
  • Support the distribution and clearing of lunches and refreshments
  • Support general office and facilities as required, including regular walks around the building to check facilities are in good order
  • Responsible for unlocking or locking the building
  • Handle incoming and outgoing post and deliveries in a timely manner
  • Manage stock levels and order new supplies when necessary
  • Carry out minor elements of maintenance of the building and its contents, including telephones and photocopiers, coffee machines, clocks, lights, walls, doors, lift, signs, and furniture etc.
  • Responsible for weekly fire alarm testing
  • Provide switchboard/reception cover when required
  • Comply with and support all health and safety regulations
  • Removal of rubbish and carrying out occasional light cleaning duties when needed
  • Carry out any other duties as requested by senior members of the team, including assistance to other departments

  • Able to manage multiple tasks and prioritise effectively

  • Good at interpersonal communication and has customer service skills
