Purpose of the job
To set up the foundations of the Senior Executive, Employer and Partner Services role, so that the substantive postholder returns from maternity leave to a role with clear structure, processes and relationships already in place.
The substantive role exists to give the IFoA's key employers and partner organisations, such as collaborating actuarial associations and universities, the right information and service at the right time, supporting growth in member and learner numbers and exam success. The postholder had only recently moved into it, so much of how the role will work has not yet been built. Over the course of this fixed-term contract, and working closely with the Head of UK, Europe and Employers, the postholder will keep the day-to-day service running and support the Employer and Partner Services Team Lead, while designing, testing and documenting the ways of working the role will run on.
Principal Accountabilities
- Deliver the day-to-day service, responding to and managing first and second line contacts from employers and partner organisations, and using this experience to understand what they need and where the current service falls short.
- Support the Employer and Partner Services Team Lead with the wider employer and partner service, picking up tasks and providing cover as needed.
- Develop a good understanding of the IFoA exam and learner cycle, policies, processes and services, and capture it in guidance that the substantive postholder can use.
- Working with the Head of UK, Europe and Employers and the Employer and Partner Services Team Lead, design and set up the processes, service standards and contact points the role will use to look after employers and partners.
- Draft an annual calendar of employer and partner communication and engagement points, from admissions and renewals to exam and results cycles, working with colleagues in Member and Customer Success.
- Put the right feedback mechanisms in place, including a first employer and partner survey with the Member and Customer Insights Lead. Analyse the results and share insights and recommendations.
- Gather information from existing employer and partner contacts to build an accurate picture of who they are, what they need and how they want to engage with us.
- Support the Head of UK, Europe and Employers to develop the strategy for how the IFoA engages employers, providing evidence, benchmarking of good practice and analysis to inform decisions.
- Coordinate the work as a project, identifying requirements, tracking progress and managing the expectations of the wider team and leadership.
- Start building an engaged employer and partner community through communications, events and other activity, including checking that employer-facing web pages are accurate with Member Value, Brand and MarComms.
- Act as an ambassador for the IFoA, attending and presenting at employer, career and member events.
- Document everything that has been set up, decided and learned, and prepare a full handover for the substantive postholder's return.
Essential
Knowledge and Experience
- Experience of working with employers or external stakeholders, building and maintaining effective relationships
- Data analysis skills, with the ability to gather, interpret and present data and feedback to draw out clear insights and recommendations
- Experience of project coordination, including planning, tracking and reporting on progress
- Excellent written communication skills, including writing clear processes and guidance
- Confident verbal communication by phone and in person, including public speaking and presenting to groups
Desirable
- Experience of managing a high-volume workload
- Customer service experience
- International experience, or experience of working with stakeholders across different countries or markets
- Experience of working in a professional body, membership organisation or higher education provider
- Experience of survey design and analysis
Decision-Making and Complexity
The role does not carry core decision-making authority. Decisions on strategy and on how the substantive role will operate rest with the Head of UK, Europe and Employers. The postholder supports those decisions by providing data, insight and recommendations.
The postholder is expected to solve problems independently as far as possible, anticipating issues and dealing with them early. They make day-to-day decisions on how contacts are handled and prioritised, and on organising their own workload, within agreed processes.
The role is complex because much of what it needs does not yet exist. The postholder has to balance reactive contact management with setting up new ways of working, bring together information from many teams, and manage expectations without direct authority, all within a fixed timeframe that ends with a handover.
