We are currently recruiting a Regulatory Investigations Assistant for a Permanent contract.

This role is hybrid, both working from home and in our Edinburgh hub.

We encourage our colleagues to work flexibly between home and the hub to suit their needs and preferences, in line with our hybrid working policy.

Colleagues are able to work their hours flexibly, in line with core business hours and requirements. We also offer formalised flexible working agreements.

The starting salary is £29,450 per annum.

Purpose of Job

To provide high-quality administrative support to the Professional Standards Team, Investigation Actuaries and the Disciplinary Committee.

Dimensions

  • Providing administrative support to an internal team of three people and a pool of external Investigation Actuaries.
  • Registering and processing approximately 25 misconduct complaints per year, with volume subject to fluctuations in demand.
  • Contributing to papers for the Disciplinary Committee, which meets at least four times a year.

Principal Accountabilities

  • Supporting the team responsible for handling misconduct complaints about actuaries, in accordance with the formal rules of the Disciplinary Scheme, policy, procedure and performance metrics.
  • Managing the disciplinary enquiries inbox, including responding to correspondence in an accurate and efficient manner and distributing enquiries to other colleagues when appropriate.
  • Creating, updating and organising case files within document management and filing systems, ensuring case information is accessible, up to date and well organised.
  • Contributing to the effective management and continuous improvement of disciplinary records and document management processes.
  • Interacting with actuaries or their representatives, complainers, witnesses, Investigation Actuaries and external legal professionals, providing clear and accurate information.
  • Liaising with the Clerk team to ensure case information and documentation is available for Panels and Tribunals.
  • Handling and sharing sensitive and confidential information appropriately in line with data protection requirements.
  • Producing and supporting the production of key case documentation, including formatting, proofreading and redaction of case reports, charges and evidence bundles.
  • Supporting the production of papers for the Disciplinary Committee, including preparing statistical information and other content for reports.
  • Updating the disciplinary pages of the IFoA’s website.
  • For concluded cases, archiving or destroying case documents in line with the records retention policy and ensuring compliance with data protection obligations.
  • Carrying out other reasonable administrative duties within the scope of the role as may be required.

Impact

The Professional Standards Team and its investigation function are areas of high reputational risk for the IFoA and it is essential these functions operate efficiently and to a high standard.

Decision-Making and Complexity

This is a varied and demanding role which requires the role holder to be highly organised, possess good attention to detail and be flexible in the tasks that they deal with. The role holder will need to manage competing demands and prioritise accordingly.

The role holder will have to exercise judgment on how to respond to queries, or where to direct queries, and communicate information clearly to people who may be experiencing a degree of stress due to their involvement with the investigation process.

Knowledge and Experience

  • Strong organisational skills.
  • Ability to work under pressure of workload from multiple sources.
  • Team player.
  • Strong communication skills, including an ability to deal with sensitive issues with tact and diplomacy.
  • Strong attention to detail, accuracy and sound judgment.
  • Strong IT skills and experience of a wide range of IT applications including Microsoft 365, SharePoint and Adobe Pro.
  • Interest or experience in professional regulation and discipline, investigatory work or the financial sector.
  • Experience of working in an organisation with volunteer input.

Additional Information

This role is hybrid, both working from home and in our Edinburgh hub. Occasional travel to London and Oxford may be required.
