We are seeking an organised, personable Administrator to join our team at South Devon Vets on a part‑time basis.

How You’ll Make a Difference
We are seeking an experienced and highly organised Veterinary Practice Administrator to oversee the administrative and financial functions of our busy veterinary practice group.
This is a predominantly office-based role, supporting the smooth running of the business through effective management of accounts, payroll, compliance, HR administration and practice systems.
The successful candidate will work closely with the Practice Director to ensure efficient business operations and maintain accurate financial and administrative records.
- Finance & Accounts
- Process purchase invoices and supplier payments in a timely and accurate manner
- Raise invoices and monitor client accounts, ensuring prompt collection of outstanding balances
- Reconcile bank accounts, card transactions and online payment platforms
- Assist with the preparation of monthly management accounts and financial reporting
- Manage petty cash, staff expenses and reimbursement claims
- Liaise with the Central Operations Team to ensure client products and services are accurately maintained
- Support annual budgeting, forecasting and financial planning processes
- Maintain accurate financial records and ensure compliance with company policies and procedures
- Assist with credit control activities and resolve account queries as required
- Produce regular financial and operational reports for the Practice Director
- Payroll & HR Administration
- Maintain employee records and personnel files
- Assist with payroll preparation and submissions
- Coordinate recruitment administration and onboarding processes
- Monitor staff holidays, sickness records and training requirements
- Ensure employment documentation remains up to date
- Practice Administration
- Maintain accurate business and compliance records
- Manage contracts, insurance policies and service agreements
- Monitor stock control systems and supplier accounts
- Produce reports and analyse operational data as required
- Support health and safety, GDPR and regulatory compliance requirements
- Develop and maintain efficient office systems and procedures
- General Business Support
- Provide administrative support to the Practice Director
- Coordinate meetings and prepare agendas and minutes
- Manage incoming correspondence and documentation
- Assist with business projects and operational improvements
- Ensure confidentiality of financial, employee and client information
- Working Pattern
- Monday to Friday, 8:30am - 2:30pm (flexible)
