Main Purpose of Role: This role is responsible for maintaining a professional and efficient work environment while providing essential support to the field and management team. It involves managing operational tasks, coordinating client deliverables, and optimising workflows to drive overall business efficiency. This is a client facing role that requires a data driven graduate. You should have strong Excel and presentation skills.

Key Tasks and Responsibilities

  • Administration & Customer Service
    • Represent the business and its clients professionally in all aspects of the role.
    • Provide comprehensive support to field teams, ensuring alignment with their goals, strategies and objectives.
    • Utilise data-driven insights to deliver analytical reports that enhance the services provided by the platform.
    • Build and maintain strong client relationships through phone, email and face-to-face interactions.
    • Coordinate hotel bookings, train and international travel arrangements, including flights, accommodation and visa requirements.
    • Manage procurement of marketing materials, office supplies and other necessary resources.
    • Organise internal and external meetings and company events, including IT coordination, presentation decks, venue arrangements, accommodation, and refreshments.
    • Attend client meetings as required, providing support to the management team.
    • Assist the new business team by gathering information, conducting research, and supporting field visits for sales proposals and pitches.
    • Liaise with distribution and logistics companies to coordinate POS deliveries to field staff or store locations.
    • Work collaboratively with internal team to ensure all processes are completed and within required timescales.
    • Contribute to the development of an efficient administration service that meets all required deadlines.
    • Manage general administrative tasks, including arranging couriers and sending correspondence.
  • Reporting & Performance
    • Demonstrate a results-driven mindset, focusing on performance excellence and maximising return on investment for clients.
    • Assist in the preparation of professional presentations.
    • Ensure timely and accurate completion of all tasks to meet organisational deadlines and expectations.
    • Generate weekly and monthly reports in Microsoft Word, Excel and PowerPoint as required by the management team.
    • Work towards achieving individual and team performance targets.
    • Perform accurate data entry, expense claim processing, and other administrative tasks within set deadlines.
  • Technical Skills & Proficiency
    • Proficiency in Microsoft Office Suite is a must.
    • Intermediate Excel Proficiency: Experienced in using Microsoft Excel for data organisation, reporting, and analysis.
    • Proficient in functions like VLOOKUP, XLOOKUP, PivotTables and conditional formatting to manage and interpret operational data.
    • Capable of creating basic dashboards, generating reports and using charts to visualise key metrics.
    • Proactive problem-solving skills, leveraging data to make informed decisions.
