As a Facilities Assistant with Bellrock, you’ll contribute by supporting the Facilities Manager (FM) in the compliant, timely and effective delivery of FM services.

Responsibilities

  • Ensure that Bellrock meets PFI contractual obligations and the timely delivery of the contract deliverables.
  • Lead the administration and caretakers in the management of the helpdesk (Concerto).
  • Be the first point of escalation for the client, building users and suppliers as required.
  • Ensure that reactive tasks logged by building users are attended to and rectified in a timely manner and within the relevant priority category.
  • Delegate caretaker resources to attending to faults and issues logged by building users.
  • Liaise with sub-contractors/suppliers to arrange attendances for Planned Preventative Maintenance, reactive and quoted works, and ensure they are completed ahead of set due dates with certificates uploaded on Concerto.
  • Coordinate with the FM and/or Head Caretaker to resolve issues quickly by taking ownership of jobs where an issue or fault has led to a potential unavailability/service failure until satisfactory completion, keeping stakeholders informed.
  • Assist the FM in arranging attendances for quoted works ensuring resources are available and operations remain non-disruptive.
  • Produce data and analysis of helpdesk statistics, sub-contractor/supplier performance and compliance as required.
  • Assist the FM in gathering and compiling all necessary data for monthly FM Operations reporting.
  • Ensure that all Variation, Lifecycle and Additional non-contract works are billed on completion and kept on relevant trackers.
  • Coordinate the activities of all Bellrock services to ensure the necessary data management information for contract monitoring is produced.
  • Monitor and liaise with sub-contractors/suppliers to ensure effective day-to-day service delivery and identify any performance issues with the FM.
  • Maintain the helpdesk PPM schedule and liaise with Planned services for amendments or changes approved by the FM.
  • Support the FM in promoting a culture of compliance and escalate issues or areas of concern.
  • Manage and operate Concerto and Lens on behalf of Exempt Suppliers, ensuring information is accurate and monitored.
  • Assist the FM in the financial management of operations by documenting spend and ensuring budgetary parameters are met.
  • Place and manage orders to suppliers using Bellrock platforms and ensure best value is obtained.
  • Ensure accurate financial reconciliation and reporting of Bellrock Catering Services.
  • Promote the Bellrock values within the business and all operations.
  • Support the FM in maintaining positive and collaborative relationships with Bolton Metropolitan Council, ProjectCo, and other contract stakeholders.
  • Assume leadership of contractual administrative function in the absence of the Facilities Manager.
